The Office of the Faculty Registrar works closely with departments and colleges regarding all matters relating to Arts & Science students. We are dedicated to making the A&S student experience as smooth and seamless as possible. We coordinate and administer a variety of services and programming to support personal, financial and academic planning, as well as registration and enrolment, student records, transfer credit, petitions, final examinations and graduation.

Your Opportunity:

Under the general direction of the Faculty Registrar & Director of Undergraduate Academic Services (Faculty Registrar) the Associate Registrar, Student Recruitment and Admissions is responsible for the strategic direction of the Faculty’s recruitment and admissions unit. The incumbent is specifically accountable for domestic and international student recruitment activities and undergraduate admissions for the University of Toronto’s largest Faculty of more than 27,000 students. In consultation with the Faculty Registrar, the incumbent establishes policies, practices and procedures for recruitment and admissions, and leverages the Faculty’s and the University’s brand and reputation to achieve established enrolment goals.

As a key member of the Faculty registrar’s office senior management team, the incumbent helps to establish enrolment goals and objectives; develops and implements evidence-based strategies and initiatives targeted at recruiting and admitting high-quality students from strategically segmented markets; reviews and revises existing policies and practices to ensure consistency with overall enrolment management objectives; provides advanced understanding and expert guidance with respect to established and emerging trends and technologies; and recommends changes to policies and practices as necessary.

Working closely with the Faculty’s seven colleges and in collaboration with the Faculty Registrar, the Associate Registrar, Student Recruitment and Admissions oversees and establishes college membership for newly admitted students and develops recruitment and admissions policies and procedures that ensure the colleges meet their enrolment goals. The incumbent provides overall direction for the Faculty management of the University’s CRM for prospects and applicants, including the development and assessment of comprehensive communication plans for both prospective students and applicants.

The Associate Registrar, Student Recruitment and Admissions collaborates closely with the University Admissions Office and other first-entry divisions to ensure university-wide policies and activities align with the Faculty’s undergraduate recruitment and admissions strategies.

Required Qualifications:

EDUCATION:

  • University degree or acceptable combination of education and experience in the area of Recruitment, Admissions, Marketing and Communications.

EXPERIENCE:

  • A minimum of eight (8) years of senior administrative experience within a university or college setting with at least five (5) years’ experience in student recruitment and marketing, advising/counselling students in admissions, or related areas and management experience including proven experience directing, hiring, managing and motivating staff.
  • At least three (3) years’ experience in admissions and assessment of university applicants preferably experience with national and international credentials.
  • Knowledge of University of Toronto programs and admission requirements and of the overall university structure would be an asset.
  • Project management experience.
  • Proven proficiency as a strategic thinker, with demonstrated success in developing and evaluating evidence-based strategic plans.
  • Proficient in understanding research, key audiences, geographic markets and governments.
  • Extensive experience in and knowledge of international affairs and integrated strategies; domestic and international undergraduate recruitment and admissions; national and international education systems; and issues related to the transition to university, especially for international students.
  • Experience managing budgets where independent decision-making, initiative and attention to detail is required.

SKILLS:

  • Excellent oral and written communication skills, including proficiency in public speaking.
  • Strong computer skills and familiarity with higher education CRM functionality.
  • Experience with the Slate CRM is an asset.
  • Knowledge of Microsoft 365, including Microsoft Office with advanced knowledge of Excel and Word.

OTHER:

  • Current advanced knowledge of best practices in post-secondary admissions and recruitment.
  • Excellent interpersonal skills with the ability to communicate effectively and develop good working relationships with students, co-workers, senior university administrators, and external clients.
  • Team-building and conflict management and investigation skills.
  • Good knowledge of university policies and procedures.
  • Strong organizational, planning, time management skills and the ability to set priorities.
  • Highly developed database management skills.
  • Ability to analyze complex technical tasks and implement solutions.
  • Ability to think logically and consistently, plan, coordinate, commitment to improving the work environment, ability to negotiate and organize a heavy workload.
  • Ability to recognize and maintain the confidentiality of sensitive personal and operational information.
  • High degree of professionalism, tact, patience, discretion and good judgment.
