The College of Medicine, Regina Campus is home to a large number of medical students and Residents training to be physicians at the Regina General Hospital. Our office provides administrative support to medical students and faculty as part of the University of Saskatchewan

Primary Purpose: Provide central oversight and manage administrative functions for staff on the Regina Campus. 

Nature of Work: Reporting to the Finance and Administration Manager for the Regina Campus, the Assistant Manager will maintain professional relationships with all staff and stakeholders. The ability to work as part of a team and also independently is critical. This position requires the ability to work under pressure in a fast paced environment while balancing competing deadlines and multiple tasks.  Some travel within the province may be required. 

The Assistant Manager is responsible for providing strategic and administrative leadership for staff on the Regina Campus. The Assistant Manager provides supervision and directs the work of staff.

The Assistant Manager exercises discretion and professional judgment in maintaining confidential information, and applies sound practices with a consistent, proactive and collaborative approach. The work is high volume and complex and decisions ranging from the mundane to the critical are required on a routine basis.

Typical Duties or Accountabilities:

  • Day to day direct supervision of staff on the Regina Campus. 
  • Coordinates and leads staff and team meetings on weekly and monthly basis. 
  • Responsible for staff and faculty job postings and hiring for the Regina Campus. This will include developing/updating job profiles, creating interview guides, organizing interview panels, arranging  interviews, and following up with all potential candidates
  • Orientation and all onboarding of staff to the department/college/university, its programs and services, its staff, the finance/IT/administration, education and clinical areas, and to their position.
  • Ensuring all staff have the appropriate office supplies, IT and network access, and workstation set up.
  • Working with Wellness Resources and Safety Resources regarding accommodation requests and ergonomic assessments.
  • Completing all necessary payroll functions, ensuring timesheets and pay is completed on a weekly, bi-monthly, and monthly basis. 
  • Working with and interpreting various union collective agreements. 
  • Provides leadership and supervision to all Regina Campus staff, including educational program support staff; responsible for ensuring quality output in a timely fashion; responsible for providing feedback, orientation, training, disciplinary action & dismissals.
  • Plans, develops and implements strategies on employee learning, job training, professional development, performance and recognition, team building and succession planning.
  • Manages timely support staff performance appraisals; responsible for leave administration; tracks absences and authorizes vacation schedule and other leaves
  • Ability to initiate, implement and support new or modified approaches, practices and processes for the College of Medicine and the University of Saskatchewan.
  • Establishes and maintains strong working relationships with all key stakeholders.
  • Builds a management culture based on teamwork, open communication, prudent risk taking, innovation, mentoring and accountability,
  • Other duties as assigned. 

Education:

A Bachelor of Commerce or Business Administration degree is required, preferably with a major in Human Resources or General Management.  

Experience:

A minimum of 3-5 years of managerial experience with demonstrated excellence in leading people. Experience working in a diverse and inclusive environment is required.

  • Ability to take initiative and be self-directed, ability to work collaboratively, with polished presentation, written and interpersonal communication skills, proven strategic planning skills.

  • Demonstrated experience in project management and being highly organized.
