Duties and Responsibilities:

Working with a minimum of supervision from the Director of the Technology Innovation Management (TIM) Program, the incumbent ensures the smooth operation of the graduate program in the Faculty of Engineering and Design, in collaboration with the Sprott School of Business due to the nature of the this interdisciplinary program. The incumbent administers the program’s operating and research funds, is responsible for the day to day administration of the graduate programs in TIM and advises students on procedures, processes, university regulations, rules, and guidelines. The incumbent will also work with the TIM Director and faculty to plan and implement non-academic initiatives that add value to the TIM students, which will include meeting and event planning.


Qualifications:

The incumbent must possess the following qualifications:
• Able to collaborate with individual in other departments as well as outside of the university for the purposes of collecting detailed information,
• Provide feedback and resolve issues in a proactive and timely manner
• The ability to deal with an array of program and administrative issues in a sensitive manner
• Have creative problem solving in a timely manner
• Strong knowledge of the programs offered including curriculum requirements for each degree is required
• Superior organizational skills and the ability to generate sophisticated records combined with analysis and presentation of reports is required
• People management skills are essential when working with such a wide variety of people for the purposes of coordinating schedules or overseeing projects and professional development programs affiliated with the TIM program
• The ability to plan, organize, and coordinate in a multi-faceted environment
• Must know the details of the plan to develop the program recruitment, marketing, and promotion, as well as its operating budget
• Must be able to maintain a healthy tension between budget and finances, advise the Director of the program on impact of budget commitments and communicate arising matters, provide reliablefinancial projections, and structure internal budgeting processes and established controls to monitor operations and maintain budget limitations in alignment with TIM program and Carleton Universities business processes
• Must have demonstrated experience working with staff, graduate students, volunteers who
contribute to the activities of the program, program stakeholders, as well as resolving issues
• Must have knowledge of service excellence and be able to work with staff to development best practices for the program
• Must have excellent oral and written communication skills in order to convey complex matters that may require negotiation
• Must have demonstrated experience working with Banner and MS Office.


Education and Experience:

The above is normally acquired through the completion of:
• An Undergraduate honours degree from a recognized Canadian post-secondary institution, or
equivalent.
• Five to seven years’ relevant experience with a minimum of two years in the field of post-secondary educational administration, equivalencies will be considered. Previous experience must include administration in an academic unit including budget administration, records management, development of systems and procedures.
• Must have demonstrated program management experience or comparable.
• Experience using Banner and FAST and managing research funds would be an asset.

Important Note Regarding Pandemic Related Operations:

This position is required to work on campus. Exceptionally, since March 2020, many staff and faculty at Carleton University have been working from home in order to comply with public health requirements while continuing to provide services to support the operational functioning of the university. We are currently in the process of identifying positions that need to work on campus as part of our return to campus process. This position may be required to work temporarily remotely due to public health requirements or it may have been identified as one of the roles that are required to work on campus. If this position is required to work on campus, the successful candidate will be informed of the health and safety measures that are in place to ensure their safety on campus. If there is a requirement to work remotely (it is possible that there could be a requirement to work both remotely and on campus), the successful candidate will work with the manager to set up a remote work environment including discussing appropriate technology and requirements. Please note that once public health requirements permit, Carleton University will resume normal on campus operations and at that point there will be a timely notification provided by the manager and the requirement to working full time physically onsite will resume. Therefore, we are looking for candidates currently in or looking to relocate to the Ottawa area.

As Carleton University requires that staff be available to attend on-campus meetings and to work, as required, in person, the successful candidate will be required to comply with this policy and be fully vaccinated before commencing employment.
