Position Summary

We are looking for the ideal administrator coordinator to join a respectful, collegial working environment in HSERC. The incumbent will be responsible for providing administrative support to the Health Sciences Education and Research Commons (HSERC). 

Duties

  • Answers phones for the area. Redirects calls or takes messages for the appropriate staff member.
  • Greets visitors to the area and routes them to the appropriate area.
  • Performs word processing and data entry for the area.
  • Prepares and types letters, emails and other area related correspondence. 

Area Operations

  • Maintains files and filing systems.
  • Troubleshoots photocopier and phone issues; organizes service calls as required and maintains adequate levels of supplies for machines, including shredding services.
  • Schedules and coordinates meetings, events and activities including scheduling rooms, organizing equipment, ordering catering and assembling materials.
  • Maintains inventory of office equipment and supplies.
  • Sorts and distributes mail; arranges mail slots for new staff; schedules courier service, as required.
  • Serves as recording secretary to area/ program Committees.
  • Coordinates card access and door access. Where still required, processes key deposits, revenues, returns and refunds.
  • Books meeting room space.
  • Initiates purchase requisitions, purchase orders and invoices through SupplyNet. Initiates vendor payments.
  • Liaises with Facilities and Operations on behalf of the area.
  • Posts notifications and event signage.
  • Processes and manages OneCard after-hours access.
  • Communicates relevant facilities and operations information to ensure all area staff are informed of activities that may affect them.

Qualifications

  • High School Diploma
  • First point of contact for the area; strong customer service and communications skills required
  • Office experience and strong working knowledge of MS Office (Word & Excel) required
  • Accuracy, attention to detail, and strong organizational skills required
  • Ability to work in a dynamic fast paced environment required
  • Strong initiative and problem solving skills required
  • Flexibility in being able to work independently and as a team member required
  • Position is an on campus position; no ability to work from home
  • Must be flexible to hours of work as it may vary from 06:30am to 06:30pm.  Schedule determined in advance
  • Experience in a healthcare simulation center is required
  • Experience with mannequin simulators and computer streaming technology is an asset
