Reporting to the Director of Programs and Planning (DPP), the Accreditation, Faculty Data and Metrics, and Program Coordinator (Coordinator) plays a crucial role in the accreditation, data management and program support mandate of the faculty.  The Coordinator is the data manager, continuous improvement program support and is responsible for maintaining and upgrading the systems of the programs and planning team which reports to the Vice Dean and Associate Dean Programs and Planning. Accreditation from the Canadian Engineering Accreditation Board (CEAB) is mission critical to the faculty as is meeting metrics to demonstrates the faculty’s successes to a broad set of audiences. 

Duties:


  • Engineering Syllabus and Post-Course Assessment Systems
    • Manages the system, reviews submissions, and sends out notifications/follow up emails to instructors through the system, and supports instructors as needed.
    • Ensures teaching assignments are up to date in the system. To do so, collect teaching assignments from Associate Chairs (UG) in each department, put into standard format, and send to [email protected] to be added to system.
    • Tracks P.Eng. status of all ~230 faculty members and additional sessional instructors and follows up with Associate Chairs. 
    • Creates and maintains mechanism to monitor course deficiencies reported in PCAs; trains staff, communicate how this can be used in the future alongside USRIs and performance evaluations.
  • Standardized Engineering Accreditation System (SEAS) 
    • Manages SEAS, reviews submissions, and sends out notifications/follow up emails to instructors through the system, and supports instructors as needed.
    • Manages collection and reporting of all service courses. 
    • Each semester rollover courses used for assessment, verify that the correct instructors are in place by checking against teaching assignment lists, and send out notification emails.
    • Follows up with instructors who have missed submissions; tracks responses. 
  • Accreditation Data Coordination 
    • Ensures that CEAB accreditation requirements, instructions, and standards are being followed and our current systems are updated; any changes are communicated to AD and Associate Chairs.
    • Manages the departmental collection of materials.
    • Manages out-of-faculty courses materials collection.
    • Manages timelines and ensures stakeholders are aware of expectations. 
    • Participates in accreditation meetings (e.g. GAPnet, CEAB) along with DPP. 
    • Tracks and analyzes EDII data for programming initiatives and CEAB.
  • Data and Metrics Coordination and Reporting 
    • Completes yearly Engineers Canada Survey (in collaboration with DPP)
    • Completes yearly American Society for Engineering Education Survey (ASEE) Survey (collaboration with DPP).
    • Collects environmental landscape data (external, research, education).
    • Identifies or develops new metrics (collaboration with DPP).
    • Prepares reports on faculty metrics for quality control reviews (collaboration with DPP). 
  • Provides assistance for student support activities the Engineering Student Success Center, Bridge2ENGG and ENGG courses 
    • Supporting the planning and organization of service activities.
    • Developing eClass pages.
    • Collect accreditation data for ENGG 100, 160, 400 courses.
    • Collect and analyze data related to ESSC, B2E and the first year program. 

Qualifications


  • B.Sc. Computer science or engineering, with a minimum of 5 years of experience in:
    • Advanced C++ Programming
    • Advanced knowledge of excel and macros
    • Data collection and research abilities
    • Report writing skills

  • Minimum 3 years of experience working in a large post secondary education institution in a similar role
  • Minimum of 1-2 years of experience working on continuing improvement processes/quality control in education
  • Minimum of 1-2 years of experience working with Tableau/PeopleSoft
  • Knowledge of engineering programs would be considered an asset
  • Demonstrated attention to detail and high levels of accuracy
  • Ability to work independently with minimal supervision
  • Creativity and the ability to think outside the box to resolve problems
  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities
  • Excellent organizational and communication skills
  • Strong commitment to professionalism
  • High tolerance for ambiguity; adaptable to a changing environment

The Faculty of Engineering at the University of Alberta is a leading educational innovator. Its nine programs are accredited by the Canadian Engineering Accreditation Board (CEAB) and consists of four departments and an additional department jointly administered with the Faculty of Medicine and Dentistry. Currently, it has over 200 Faculty Members, 4,500 undergraduate students and 1,600 graduate students.  By size, this makes it within the top 5% of Engineering Faculties in North America and one of the largest Faculties at the University of Alberta (3rd  largest by undergraduate students, 4th  largest by FTE professoriate, largest by graduate students). The DPP’s role in securing accreditation will be continuing, working with instructors and the database, during the episodic accreditation process.  Failure to satisfactorily secure accreditation jeopardizes the Faculty’s continued existence, so the importance of this position cannot be overstated.

In terms of graduate program administration, you will work alongside with the Director of Programs and Planning who oversees the system that directly impacts all of our 1,600 graduate students, and the performance metrics gathered and delivered will directly impact the current $3.5M/year in GTA funding; the faculty aims to grow the graduate program significantly over the next 5 years, and you will play a critical role in ensuring the process development and meeting targets. The Faculty of Engineering has the largest graduate program on campus, with student support levels exceeding $20M/year.
