The Faculty of Psychology comprises the Dean's Office, a StudyServiceCenter, the four institutes

  • Department of Cognition, Emotions and Methods in Psychology
  • Department of Clinical and Health Psychology
  • Department of Occupational, Economic, and Social Psychology
  • Department of Developmental and Educational Psychology
  • and the Research, Teaching and Practice Outpatient Clinic.

The range of courses in psychology includes Bachelor's, Master's and doctoral studies.

The Institute of Psychology of Cognition, Emotion and Methods currently has a vacancy for an organizational assistant (20 hours) in the research area "Urban and Environmental Psychology".  The position can probably be filled from 1.3.2024.  By mutual agreement, the position can be made permanent after the 1-year contract.


Your future tasks:
  • You support the scientific staff of the EnvPsy team in all administrative and organizational matters
  • You monitor the budget and you support/troubleshoot for researchers with financial inquiries (Invoice verification, refunding; process control from invoice request to payment) if necessary in cooperation with contractors, finance department
  • You implement and coordinate personnel agendas - in the recruiting process and right through to the first steps of onboarding- with regard to new staff members, interns, fellowships and in cooperation with the HR department, SSC etc. 
  • You take care for the organization of workplaces and office-equipment in cooperation with EDV, Facility and Resources Management (RRM)
  • You support the manager with office/workplace/staff planning
  • You maintain the homepage of the EnvPsy team's website and, if applicable, Institute’s website
  • You organize meetings, workshops, events
  • You are the central contact person and take care of the English and German correspondence with all interfaces
  • In coordination with the other organizational assistants, you will also take care on cross-working group tasks for the institute and the faculty

This is part of your personality:


  • Experience in office management
  • Graduation from a general/vocational middle or higher school, or an apprenticeship including relevant practice in office management
  • Excellent MS Office skills (especially Word, Outlook, Excel and Power Point).
  • Experience in dealing with content management systems (e.g. Typo 3) & social media
  • Fluency in English and German (B2 level or higher)
  • Experience with SAP is an advantage
  • Experience with the University of Vienna systems and procedures is an advantage
  • Familiarity with Environmental Psychology contents and/or issues related to research on Environment and Health is an advantage
  • Familiarity with EU research projects is an advantage
