  • Commencement Salary: $92,941 (pro rata) per annum (plus 17% superannuation)


About the Role

The Venue Coordinator is responsible for the effective logistical support for the staging of a wide range of corporate events in Pridham Hall including Graduations. This is achieved through planning support services, negotiating contracts for the delivery of services and monitoring the performance of external service providers working in the venue. The Coordinator is the primary point of contact for event managers and coordinates the logistical and technical requirements in relation to the venue for their events.

The role also supports the management of the campus as a member of the Facilities Management customer service centre (FM Assist). It does this by monitoring the performance of all external service providers working on campus and by identifying, prioritising and managing facilities issues as they arise.

The Facilities Management Unit (FMU) provides support to the Universitys teaching, research and support functions in three primary areas:

Capital Development: Planning, procurement and delivery of capital and maintenance projects aligned to strategic objectives. The annual capital works and maintenance budget ranges from $30M - $40M which includes in-progress capital projects of up to $250M.

Campus Operations: Management of FMUs on campus service delivery including:

  • Security (including crisis management)
  • Cleaning
  • Parking
  • Grounds maintenance
  • Mail and courier services
  • Hire of facilities
  • Contract and contractor support
  • Asset renewal – Site Engineering, Building Services and Fabric
  • Reactive, routine and major cyclic maintenance
  • Technical advice
  • Asset information
  • Utilities management (gas, water and electricity)

Commercial Services including:

  • UniPrint
  • Contract Management
  • Management of property leases and licenses
  • Tenders and procurement of services
  • Fleet management and chauffeured vehicles

Core Responsibilities
  • Lead the development of Pridham Hall’s annual calendar of events
  • Develop and monitor venue event budgets
  • Take a leading role in coordinating, negotiating and managing the logistical arrangements for setup of events in Pridham Hall including extensive liaison and oversight of relevant external suppliers and contractors, to ensure constructive outcomes are achieved
  • Manage designated contracts through all stages of the contract management lifecycle in line with the Facilities Management Unit’s Contract Management framework
  • Manage the delivery of quality customer focused services to University staff, students, the community and contracted service providers

Essential Skills and Experience
  • Tertiary qualifications in Event Management, Facilities Management, or related disciplines, or demonstrable equivalent skills and knowledge
  • Proven ability and experience in managing logistical and technical support for large scale events and/or public promotional activities
  • Demonstrated experience to plan, evaluate, monitor and take appropriate corrective action for risk and WHS issues
  • High level stakeholder management and negotiation skills delivered through well-developed interpersonal, written and oral communication skills, demonstrating the ability to relate to a broad cross section of people inside and outside the University
  • Proven experience in managing contracts through all stages of the contract management lifecycle, including the oversight of external suppliers and contractors
