About the opportunity

The University Infrastructure (UI) PMO Officer assists with administration of UI PMO, by managing UI’s Project Management software Clarity, providing Clarity front line training and support, and will maintain project management standards by monitoring the use of Clarity and PMO processes.

The PMO Officer will contribute to ensuring services provided by the PMO are adhered to and compliant by the UI Users. 

The position works under the broad direction of the UI PMO Manager and is responsible for ensuring documentation is standardised and support is provided to UI with regards to systems, documentation, and training.  The incumbent is expected to exercise a degree of initiative and judgement to coordinate multiple activities concurrently related to various areas, to resolve issues and to operate with a degree of autonomy.

Your key responsibilities will be:

  • update existing training documents for University Infrastructure (UI) associated with UI PMO systems and create new as and when required.

  • collaborate and update with UI PMO team procedures as required 

  • reporting and data collation out of Clarity Software

  • create PMO communications to all UI as an when required on due dates, training requirements, compliance etc

  • governance updates and SharePoint integration

  • undertakes ad-hoc projects and other activities

You have

  • relevant experience and understanding in a PMO, Project Management or an equivalent combination of relevant training and experience will be an advantage

  • understand of supporting documentation associated with risk management, Risk Register, risk Logs, and Project change management process

  • excellent time and workload management skills with demonstrated ability to prioritise effectively, manage multiple tasks, meet deadlines, navigate diplomatically to resolve problems and achieve the required outcomes and effectively deliver results.

  • excellent interpersonal, verbal and written communication skills as well as advanced facilitation skills with sound negotiating and conflict resolution skills and a demonstrated level of tact and discretion in dealing with a variety of matters.

  • working with Clarity Software will be an advantage

  • experienced in supporting projects focused around Microsoft Office products, SharePoint, Clarity, Office 365 etc and management and coordination of all Project / Program documentation.
