Student Administration Services
Working under general to broad supervision and as part of a university wide Student Administration Services team, the Transnational Education (TNE) Advisor plays a key role in ensuring the administration and provision of student-centred support services across the student lifecycle for transnational education programs.
In particular, the position is responsible for the management and coordination of key administrative activities for transnational education student support (admissions, enrolments, credit, assessment, results, and completions) as well as supporting academics with a range of teaching and learning support relating to transnational education delivery.
The position acts as a first point of contact and collaborates closely with internal and external stakeholders (and in particular partner institutions) for the delivery of high-quality services to both students and staff. The position also plays an important role in developing and promoting effective processes and enhanced innovative business practices for a broad range of transnational education support activities.

Key Position Responsibilities

The Transnational Education Advisor is accountable for: 

  • Contributing to the planning and administration of an integrated delivery and conduct of high-quality student administration services to Colleges, and in particular transnational education support, whilst ensuring consistency with University policy, procedures and relevant legislation.

  • Coordinating and administering student, teaching and learning activities and timelines related to transnational education in liaison with academic staff, transnational education support staff in Flinders International as well as other TNE Advisors across the University.

  • Acting as a key contact for students and staff seeking course information and advice, interpret and respond to complex enquiries from stakeholders and provide advice on policy and operational matters relating to the administration of transnational education programs. TNE Advisors may support programs across more than one College.

  • Working collaboratively with College staff as part of a broader student administration services team for the successful delivery of quality services for transnational education. Contributing to the delivery of a range of services across the student lifecycle, including but not limited to admissions, study plan management, timetabling, enrolment, credit, student progression, assessment/exams, results, prizes and awards, completions, graduations, records management. 

  • Ensuring the provision of a broad range of transnational education teaching activities, including but not limited to scheduling of teaching and events, preparation of topic guides and teaching materials, FLO support, extracting/entering information in the Student Information System, and distribution/collation of evaluation forms and program report survey results. 

  • Providing executive support to relevant College Committees/Boards for transnational course delivery.

  • Supporting the planning and execution of special transnational education functions, workshops, conferences and student events in conjunction with College Operations Team Leaders. 

  • Coordinating a range of administrative activities associated with the engagement of casual teaching staff for transnational course delivery.

  • Developing and implementing communication strategies to ensure students and staff are kept informed of relevant changes to operational processes, policy and requirements relating to transnational education programs. Generating reports to support College and/or University business or planning activities.

  • Actively promoting collaboration and information exchange and contributing to a quality client service culture where all team members provide a consistently high standard of service to students and staff. Maintaining positive and professional networks and liaise with University colleagues, transnational partner institutions, Government, and other external agencies as required. 

  • Ensuring that offshore teaching administration and student services support the University’s objectives and targets. Contribute to ongoing improvements of business processes and operational goals including reviews and the development of procedures, processes, training packages and support tools. Identifying and implementing system and business process improvements that support the implementation of process innovations. 

  • Any other responsibilities in line with the level of the position as assigned by the Supervisor and/or the University.

Key Position Capabilities

  • Completion of a degree or equivalent combination of relevant experience and/or education/training. 

  • Experience in coordination and provision of support services in a large, diverse and dynamic environment. 

  • Highly effective communication, customer service and interpersonal skills, with the ability to develop, maintain and enhance relationships with students, staff and other stakeholders, locally and internationally, with respect for cultural and language differences. 

  • Proven ability to make decisions and apply high-level judgement and problem-solving skills when dealing with sensitive, complex matters. 

  • Demonstrated ability to work independently, accurately and with close attention to detail as well as working collaboratively as part of a team to deliver operational services in a high-volume work environment and achieving strategic outcomes.

  • Demonstrated ability to interpret administrative policies and procedures, provide a range of related advice and to recommend solutions for operational matters to a variety of stakeholders.

  • Demonstrated ability to exercise initiative, establish priorities and manage complex workflows with non-negotiable deadlines.

  • Excellent written and oral communication skills, with the ability to provide reports, written information and presentations for a range of audiences.

  • Demonstrated ability to collect, analyse and interpret data and proficiency in working with database systems such as a student management information system and the Microsoft Office suite of programs. 

  • Demonstrated commitment to continuous business process improvement initiatives to evaluate business systems, policies, processes and procedures and generating solutions.

  • An understanding of student administration services in the Higher Education sector, particularly in the context of transnational education delivery. 

  • Language skills (particularly in Asian languages) will be an advantage.
