About This Opportunity 

The Senior Administration Officer, Examinations oversees administrative functions essential for central examination operations university-wide. They deliver top-tier service to ensure examinations align with university policies and established practices. This role serves as the main point of contact for the extensive pool of casual examination supervisors (450+) and involves coordinating and managing resource allocation and logistics for all central examination events.

Key responsibilities will include: 

  • Plan and coordinate logistics seamlessly to ensure the efficient operations of examination events.

  • Supervise a pool of 450+ casual staff, ensuring they are adequately trained and prepared for their roles.

  • Manage recruitment processes to meet staffing needs for examinations across multiple campuses.

  • Liaise with HR to ensure compliance with policies and procedures, including advertisement of vacancies.

  • Coordinate staff scheduling for various examination periods and ensure completion of required training modules.

  • Review and approve casual staff payroll data for accuracy and compliance.

  • Collate exam statistics for reporting purposes and contribute to process improvement initiatives within the Examinations section.

  • Provide support to the Coordinator, Examinations in configuring exam events, and administrative tasks as required.

  • Assist with secretariat duties for committees and maintain effective relationships with organizational units.

  • Provide backup support to team members and undertake project work as directed by management.

Please note the examinations section observes leave restrictions during critical periods, including May to July and October to December, with the need to work Saturdays and/or altered start and finish times, encompassing examination preparation and the examination periods. Additional leave limitations may apply in April and September during mid-semester examination periods.


About You  

  • Degree qualifications in HR, Business Administration, or related field, with relevant work experience in HR, staff management, or equivalent combination of education and experience.

  • Proven experience in managing staff within a fast-paced service-oriented setting.

  • Ability to quickly grasp and apply detailed knowledge of University policies and procedures.

  • Exceptional organizational and administrative abilities, capable of working independently and managing multiple priorities with precision.

  • Strong written and verbal communication skills.

  • Proficiency in a variety of computer applications within a network environment, including databases and management information systems.

  • Availability to work flexible hours, including Saturdays during examination periods.

You must have unrestricted work rights in Australia for the duration of this appointment and may be required to complete background checks including, criminal history and education checks.
