About the opportunity

The Senior Administration Officer will manage general administrative support for the work areas within Central Operations Services and Facilities Management teams. The primary focus of the role will be faculty meeting coordination. Managing all meeting and Client engagement logistics between COS/Facilities Management, Faculties and PSU’s etc, taking minutes, following up actions and assisting to communicate key messages . Other duties in this role involve preparing documents, responding queries, exploring matters and sourcing solutions for the work areas.  

Your key responsibilities will be to:

  • coordination of meetings internally across COS and with COS clients (Faculties, PSU’s etc)
  • coordinate diaries, meetings and events and provide conference support for these areas
  • manage general administrative services and operational support by the work area
  • manage the delivery of daily admin activities and services, ensuring high quality, efficient administrative support is provided in a pro-active manner
  • manage record keeping, and support the reporting for the work area
  • provide high level administrative support including diary management, drafting correspondence
  • follow up actions allocated to key leaders in FM and be an active participant in continuous improvement initiatives as required

About you:

  • administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector
  • diary management and meeting coordination experience
  • ability to work independently and as part of a wider team, taking initiative and exercising sound judgement in resolving matters
  • excellent verbal and written communication skills
  • strong problem solving skills

Australian Temporary Residents currently employed at the University of Sydney may be considered for a fixed term contract for the length of their visa, depending on the requirements of the hiring area and the position.
