About the opportunity

The Senior Administration Officer manages the administration support activities of the NHMRC Clinical Trials Centre (CTC) and provides advice and assistance to the Director, Management Committee and Centre Manager in relation to the management of the Centre’s resources including staff, facilities, equipment, purchasing, maintenance and events.

Your key responsibilities will be to:

  • manage administrative support for the CTC including responding to complex queries, exploring matters, and sourcing solutions for the work area
  • manage and supervise direct reports
  • provide high-level support to the senior committees of the CTC including preparing agendas and minute taking, preparing of reports and progressing actions
  • coordinate and undertake a range of operational activities including diary management
  • provide advice on policy and procedures for the delivery of work outcomes

About you

  • excellent planning and organisational skills, including experience in establishing and reviewing administrative processes
  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service
  • strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioritise workload during busy periods
  • well, developed negotiation, conflict resolution, relationship building, and influencing skills
  • effective communication skills across different channels and stakeholders at all levels
  • experience in creating and maintaining effective administrative systems experience in navigating university or similar organisational structures preferred
  • experience in managing and supervising staff will be highly regarded.
