About This Opportunity 

The Senior Administration Officer is responsible for providing high-level administrative and project support to the Centre Director and Chief Operating Officer of the ARC Centre of Excellence for Quantum Biotechnology. The incumbent will support the Centre Director with management of projects, and also ensure the specific needs and day to day requirements of the Centre office are managed in a highly efficient and effective manner.  The role is also responsible for coordinating centre wide events such as the annual workshop and flagship project reviews.

As the first point of contact for the Centre Director, this role requires extensive administrative and organizational skills in order to manage a high volume of activity as well as client service skills, tact and diplomacy.  Key to the success of the incumbent is their ability to manage and prioritise matters brought to the Centre Director and Chief Operating Officer

Responsibilities

Administration

  • Provide executive level support to the Centre Director and Chief Operating Officer by assisting with diary management, making travel arrangements and developing itineraries, preparing meeting papers as well as ensuring diplomatic and sensitive handling of requests and exercising judgement regarding the urgency of these requests.

  • Providing secretariat support to the Centre’s advisory boards and committee’s.

Project Management

  • Provide full project management of the projects associated with the ARC Centre of Excellence. This will include ensuring that projects remain on track and on budget, are meeting their reporting and milestone requirements, and preparing associated strategic funding requests.

  • Prepare and review project reports, briefs and correspondence, and manage project financials in collaboration with the relevant stakeholders.

Relationship Management

  • Uphold and maintain appropriate standards/protocols for communication across all Nodes of the Centre, and use initiative and judgement to effectively liaise with external organisations on a broad range of matters of relevance to the Centre Director and Chief Operating Officer.

Event Management

  • Under the broad direction of the Chief Operating Officer and in consultation with the Translational Research Program Manager, coordinate the delivery of Centre wide events, including the Centre’s Annual Conference, CI Workshops and various round table events and industry showcases.

  • Coordinate all contract and financial approvals associated with Centre events.

This is a full-time (100%), fixed-term position for up to 5 years.

At HEW level 6, the full-time equivalent base salary will be in the range of $86,371.95 - $92,658.90, plus a generous super allowance of up to 17%. The total FTE package will be up to $101,055.18 -  $108,410.91 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.

About You  

Candidates require highly effective administration, coordination and interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.

  • Completion of a relevant degree and substantial administrative experience at a senior administration level, or an equivalent combination of relevant experience and/or education/training.

  • Demonstrated experience in successful event and project management skills, including experience in contract negotiation, budget tracking and event planning.

  • Well-developed interpersonal skills, including the ability to communicate effectively, handle sensitive and confidential matters, negotiate effective outcomes and work effectively as a member of a high performing team.

  • Highly developed organisational skills and demonstrated ability to work autonomously, prioritise work to meet competing deadlines and work with a high level of accuracy and attention to detail.

  • High level of computer proficiency and digital literacy skills including Microsoft software, databases, websites and social media platforms.

  • Demonstrated ability to work co-operatively and flexibly in a small team environment, with a commitment to the delivery of excellent customer service.

  • Proven ability to handle and maintain workplace confidentiality, exercise initiative and judgment and to work independently.
