About This Opportunity 

This is an exciting opportunity for a Senior Administrative Officer (Academic) to join the supportive and high-performing Student & Academic Services Team within our Schools of Psychology and Dentistry.

In this role, you will support the academic administrative lifecycle of undergraduate and postgraduate programs on offer at the Schools, working collaboratively in a well-defined team model to provide optimal service to a range of stakeholders. As the Senior Administrative Officer (Academic), you will ensure smooth workflow processes and contribute to the continuous improvement of the quality of academic programs, service delivery and the student and staff experience.

Key responsibilities will include: 

  • Contribute to and provide advice on policy development and procedures on matters relevant to academic administration, providing advice to the Head of School, School Manager, Program Directors and the Director of Teaching and Learning when required.

  • In conjunction with the Director of Teaching and Learning, Program Directors and the School’s Management Team, prepare new or substantially amended course or program proposals, providing support for accreditation requirements and submissions, reporting cycles and other submissions as required.

  • Provide high level administrative support and advice to the School’s Teaching and Learning Committee, sub committees and other academic governance structures.

  • Maintain a Business Process Calendar and manage the School’s Academic Calendar.

  • Coordinate and oversee the use of systems associated with administrative processes, providing reports, analyses and projections as required, leading the development of such measures and reports.

  • Manage administrative aspects of School processes associated with UQ Employability programs, including scholarships and prizes.

  • Support the Faculty timetabling team to manage and coordinate the School’s timetabling processes.

  • Under the guidance of the Student & Academic Services Manager, contribute to the continuous improvement of business development by proactively reviewing work processes and liaising with relevant staff in the School, Faculty and Central Departments to implement improvements.

  • Undertake statistical and data analyses (using Business Objects) as required.

This is a full-time, fixed-term position through to 17 January 2025 commencing ASAP at HEW level 6.

For candidates external to the university, this role offers a high-level, fixed-term opportunity to join one of Australia’s leading universities. For current UQ staff members, this is an ideal secondment opportunity to upskill or branch out and gain valuable experience working with new Schools and stakeholders. Please note any secondment arrangement would require approval from current management.

At HEW level 6, the full-time equivalent base salary will be in the range $88,099 - $94,512, plus a generous super allowance of up to 17%. The total FTE package will be up to $103,076 - $110,579 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.


About You  

  • An undergraduate degree and subsequent relevant experience, or extensive experience in a relevant area such as client and relationship management, student and academic administration and/or client-focused roles.

  • High level interpersonal and communication skills, including the ability to provide advice, negotiate and liaise with stakeholders to achieve desired outcomes.

  • Experience and sound skills in using software packages to support reporting, customer relationship management and program functions.

  • Experience in achieving quality outcomes to meet specified targets, positively receiving feedback and enacting changes in a team environment, instigating improvement measures, developing policies and preparing proposals.

  • Demonstrated experience in data analysis and analytics and ability to collate results and findings from a range of internal and external data sources.

  • Ability to work collaboratively and professionally with colleagues with initiative and flexibility to work across a range of activities.

  • Excellent organisational skills and the ability to prioritise tasks with accuracy and attention to detail.

  • Exposure to student administration, teaching and learning activities and/or other similar educational context is desirable.
