The Project Officer is responsible for coordinating administrative processes within the UNSW node of ACEAS in consultation with the host institution (University of Tasmania), providing effective and efficient project support, and offering support to the UNSW node leader as well as administrative support for UNSW node activities. This is a critical role to support the day-to-day running of a large research centre and to take full responsibility for a range of special projects.

This position is fully funded by the Australian Research Council’s Australian Centre for Excellence in Antarctic Science (ACEAS). ACEAS is a collaboration between universities and government agencies committed to delivering new knowledge of East Antarctica and the adjacent Southern Ocean to the community, governments, industry, and academia. The UNSW node of ACEAS is situated in the Climate Change Research Centre (CCRC). The CCRC is a multi-disciplinary research centre comprising one of the largest university research facilities of its kind in Australia. CCRC houses research expertise in the key areas of Earth's climate: atmospheric, oceanic, terrestrial and cryospheric processes.


About the role

  • $89K - $95K plus 17% Superannuation and annual leave loading
  • Fixed Term – 3 years
  • Part time (17.5 hours per week)

The Project Officer reports to the Scientia Professor Matthew England with a dotted line to the ACEAS Program Manager.

Specific responsibilities for this role include:

  • Oversee effective office operations for the UNSW ACEAS team including coordination of meetings and management of all travel and accommodation arrangements and other support and activities as determined by the UNSW node leader.
  • Providing a range of support to UNSW node researchers, including acting as an initial point of contact for external enquiries from stakeholders, potential PhDs and new hires, as well as visitors, and independently responding, actioning and following up.
  • Assist UNSW-based researchers and graduate students with ACEAS related policies and processes
  • Maintain data on UNSW node publications, media exposure and other reportable functions and regularly update UNSW data in the Centre’s reporting database.
  • Work with ACEAS project officers across institutions to enhance reporting workflows which reduce duplication or burden on centre researchers and incorporate these improvements across a range of projects.
  • In consultation with Research Finance, assist the UNSW node leader with monitoring the node budget and expenditure and routine financial reporting for the project manager at UTAS.
  • Facilitate ad hoc Centre projects at UNSW, under the direction of UNSW senior staff, to achieve operational and strategic goals overseeing the project lifecycle. This would include significant projects such as contributing to reports or organising events.

About the successful applicant

To be successful in this role you will have:

  • Bachelor degree with at least two years’ subsequent work experience OR an equivalent level of knowledge gained through a combination of education, training and/or experience.
  • Proven experience in a similar role offering administrative support across an organisation, ideally in a higher education setting.
  • Capacity to monitor project budgets and to carry out routine financial processes
  • Experience maintaining databases and providing suitable web content with a keen attention to detail. Well-developed oral and written communication skills and effective interpersonal skills with a demonstrated ability to liaise with people at various levels within a complex organisation
  • Demonstrated project management experience delivering projects within agreed timeframes and budget.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training
