About the Role
The Project Coordinator, National Teaching Awards is responsible for providing high quality administrative project support for the national awards, citation and teaching programs offered by the Universities Australia. With a focus on collaboration, efficiency, delivery, and client service, the Project Coordinator will support the Project Manager, National Teaching Awards to ensure the right people, processes, and systems are in place to optimise and align key initiatives, across the Australian Higher Education sector. The Project Coordinator, National Teaching Awards will play a co-ordination and support role across national award, citation and program projects, campaigns, suppliers, resources, and processes. Working in an end-to-end capacity, the Project Coordinator will support the Manager to provide direction, support, and planning to assist with successful creation and delivery of the awards program.


Key Responsibilities, but not limited to

  • Contribute to the development of operational plans to assist in the achievement of the objectives of Universities Australia national teaching award program.
  • Support the production and workflow processes to assist in optimising operational effectiveness.
  • Social media monitoring and content creation
  • Writing, editing and proofreading monthly newsletter
  • With guidance, translate all OLT guidelines, templates, and resources to ensure that all materials are developed in line with the Universities Australia (UA) strategy.
  • Contribute to the development and implementation of shared metrics and measures to assess the efficacy of client satisfaction of the new awards program.
  • Liaise with suppliers and external stakeholders to ensure quality and deadline expectations are met.
  • Develop a robust understanding and knowledge of each stakeholder’s portfolio, and provide expert advice as required.
  • Co-create systems and processes to provide colleagues with insight into development schedules, workflow progress, and best practice.
  • Deliver on operational plans, including communications plan and schedule, encompassing the relevant activities, processes, systems, and projects.
  • Continually review and reflect on operational processes and standards to identify and implement improvements in line with Universities Australia strategic plans.
  • Deliver outcomes within the requirements of scope, time and budget, regularly assessing competing needs, and adapting to changing business conditions to maximise results.
  • Support end-to-end project and job delivery by effectively scoping requirements, allocating resourcing, managing activity, and communicating progress.
  • Measure and report on the success of activities, processes, and systems.
  • Monitor emerging trends, technologies, innovations, and opportunities in order to inform future strategy, policy, and planning.
  • Contribute to the development and implementation of systems, processes and tools that increase the quality and impact of awards programs and activities

To be successful in this position, you’ll have as a minimum: 

  • A degree in a relevant field would be desirable, with subsequent relevant experience, or extensive experience and specialist expertise or broad knowledge in project administration or financial administration; or an equivalent combination of relevant experience and/or education/training.
  • Experience providing excellent professional administrative in project and client support services in a busy environment.
  • Excellent organisational skills, experience in coordinating events and attention to detail.
  • Demonstrated experience in using various systems such as Qualtrics, Mailchimp, Zoom, mail merge, Microsoft Suite etc
  • Highly developed communication skills, including the ability to prepare a range of documentation for various audiences and to interact with and gain commitment from a diverse range of stakeholders.
  • Demonstrated ability to work independently and as an effective member of a team as well as the ability to exercise high levels of judgment and initiative
  • Ability to work under stress and in a fast-paced environment
