Job Description

This is a full time position at a HEP 7, $88,890 - $96,220 plus superannuation, classification working 36.75 hours per week over a fixed term contract period until August 2023. 

About the role

The Project Administration Officer role manages the Office of the Chief Marketing Officer to ensure effective planning and management of the portfolio’s resources and activities, including finances, human resources, information systems and internal communications.  The Project Administration Officer maintains and develops comprehensive, efficient administrative systems and procedures to ensure the Marketing portfolio’s work supports the realisation of VU’s strategic goals.

This is a unique opportunity to showcase your exceptional organisational, communication and project skills as a part of a dynamic and collaborative professional Marketing Team. The team is part of the External Relations & Partnerships portfolio at Victoria University, which has a focus on engagement across all levels of government, our local communities, business and industry, with significant strategic alliances, alumni and philanthropic benefactors.

The position is located at Footscray Park Campus and the City Tower Campus. Current directives allow flexible work with up to 40% WFH.

About the person

  • High level organisational and administrative leadership skills, including resource management, report preparation, event and project management and supporting the development of internal communications.
  • Astute analytical and problem-solving skills with the capacity to develop and implement sound solutions, alongside a focus on continuous business improvement.
  • Highly developed skills in all aspects of the Microsoft Office suite, and the ability to support the creation of content that enables VU’s complete digital footprint (web, social media, EDM campaigns).
  • Responsive, with the ability to deal with a high volume workload, competing priorities and unexpected events, ensuring tasks are completed on time.
  • Collaborative working approach and a keen team player.

Duties

An example of duties you may perform will include:

  • Analyse, research and prepare communications such as reports, presentations, agendas, meeting minutes and internal briefing papers.
  • Support the CMO in developing change and innovation initiatives.
  • Apply professional and flexible project management processes to key projects.
  • Develop and implement projects involving the Marketing portfolio, which may impact on other operational areas.
  • Design and prepare CMO correspondence for executives across the University.
  • Generate online reports, presentations and infographics in line with the VU brand standards.
  • Other duties, as directed by the CMO.
