The Flinders University Library is a pivotal resource, instrumental in supporting the achievement of the University's goals and mission. The team is dedicated to enabling equitable access to information, the library is critical to the University's learning and research endeavours.


About the Role

The Portfolio Support Officer is responsible for providing a range of administrative, records management and organisational support tasks, for and on behalf of, the Director of the Library and leadership team. In this role you will be required to provide a range of administrative support to the Library including those of a confidential matter. More specifically, you will be accountable for:

  • Drafting correspondence, background material, notes, and presentations to meet deadlines.

  • Maintaining and retrieving hard copy and electronic records.

  • Addressing emails and maintaining calendars.

  • Providing administrative support for meetings and/or committees, including preparing agendas, taking minutes, and undertaking follow-up work as requested.

  • Providing administrative support for external visitors, including travel, accommodation, function logistics and workspaces as required.

About You

You will be an effective communicator, with well-developed written communication skills and the ability to prepare correspondence and professional documents autonomously. You will have well-developed interpersonal skills, with the ability to relate to a wide range of staff at all levels. You will be a strong problem solver who is comfortable prioritising tasks and working to deadlines, whilst demonstrating commitment to providing high quality outcomes and great attention to detail.

The successful candidate will also demonstrate:

  • A relevant tertiary qualification, or equivalent combination of experience and/or education and/or training.

  • Experience in providing administrative services, including an ability to use judgement, initiative, and confidentiality to support the activities of Senior Management.

  • Sound knowledge of contemporary administrative systems, software and practices, and an ability to interpret and apply a range of policies and procedures within a large and complex organisation.
