About This Opportunity 

The Payment Services (PS) Assistant is responsible for the processing and verification of data into the University’s Accounts Payable system in preparation of creditor payments, management of internal and external queries and general administration including the distribution of postal mail. This role will report to the Senior Payment Services Officer.

The Payment Services Assistant position sits within the Procurement and Payment Services group which forms part of Finance and Business Services (FBS).  Therefore, the occupant will be expected to apply a combination of financial knowledge and customer service skills to support the FBS Division and University in achieving its goals.

The Payment Services team are collectively responsible for the administration, management, and support of UQ’s Payment Services system, interfaces, products and processes. As well as the central processing of payments for vendor invoices and miscellaneous payable batches. 

Key responsibilities will include: 

  • Perform processing of supplier invoices, payment requests and entry of financial information. 

  • Record in-coming and out-going data batches in the relevant control logs. 

  • Provide efficient, consistent, and accurate delivery of Payment Services transaction services within a large client portfolio.

  • Resolve queries in a timely manner and escalate any outstanding issues to ensure a timely resolution and customer satisfaction with the services provided. 

  • Ensure compliance of all Payment Services transactions with governance protocols, ensuring that University policies and procedures, as well as legislative requirements, are followed and adopted appropriately.

  • Maintain working knowledge of client business operations and understands the need for Payment Services transactions processing, and any requirements to ensure service quality, timeliness, and accuracy by the Payment Services team. 

  • Support the implementation of Payment Services improvement projects and initiatives that have a dependency on accounts payable transactions processes and implements key service delivery requirements to meet client needs. 

This is a full-time, fixed term position for up to 12 months.  

At HEW level 4, the full-time equivalent base salary will be in the range $71,640- $75,957, plus a generous super allowance of up to 17%. The total FTE package will be up to $83,818 - $88,870 annually.  As these roles are covered by an Enterprise Agreement, you will also receive regular remuneration increases in line with the Enterprise Agreement.


About You  

  • Diploma level qualifications in accounting, business, commerce, or a related field, and/or equivalent combination of relevant training and professional experience.

  • Ability to apply knowledge of finance systems, policies, and processes to a wide range of financial transactions to ensure accurate, timely and efficient transaction processing.

  • Experience working in service delivery functions in complex stakeholder and policy environments, with the ability to establish and maintain productive working relationships with key stakeholders and clients ensuring service delivery meets key requirements.

  • Experience working with enterprise technology and software solutions and systems, utilising multiple user modules for the submission of a diverse range of data and information sets.

  • Ability to work effectively within a team environment, whilst taking full accountability for the efficient delivery of set tasks within agreed timeframes and to agreed service standards.

  • Exceptional accuracy and attention to detail within a high-volume processing role, preferably an Accounts Payable function.
