The Operations Assistant is responsible for providing proactive, practical and efficient administrative support for the Career Accelerator and Student Engagement team. The role reports to the Operations and Learning Support Manager and has no direct reports.  


Responsibilities:

Specific responsibilities for this role include (but are not limited to):

  • Provide administrative assistance to the Career Accelerator and Student Engagement team on various digital resources, activities and initiatives across a range of platforms including Career Management Systems, website, Microsoft Office suite and the UNSW Learning Management System.
  • Monitor workflows and processes to ensure a consistent and efficient approach to administrative support across deliverables.
  • Work in close partnership with subject matter experts to coordinate and ensure all resources, materials and web content is up to date.
  • Provide support for the delivery of the Microsoft Excel Certification Program including scheduling of tests and responding to student enquiries.
  • Coordinate onboarding of new starters, organising building and systems access as required.
  • Assist with general operations including stationery ordering, building maintenance requests and travel bookings.
  • Provide administrative support to other Career Accelerator and Student Engagement team projects, initiatives and other ad hoc programs as required.
  • Develop, foster and maintain effective working relationships within the Education Portfolio, relevant staff in the faculty, divisions and other internal stakeholders.

Skills and experience required (but not limited to):

  • Diploma or equivalent combination of qualifications and work experience.
  • Sound organisational skills including ability to prioritise tasks and duties to meet deadlines.
  • High level interpersonal, written and oral communication skills.
  • Demonstrated experience providing effective administrative support within a team environment.
  • Demonstrated computer literacy with advanced skills in Microsoft Office applications and a willingness to undergo further training in various digital platforms.
  • Ability to assist in the organisation and co-ordination of projects and tasks.
  • Demonstrated ability in the use and administration of online systems and databases.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
