Established in 1862, Melbourne Medical School (MMS) in the Faculty of Medicine, Dentistry and Health Sciences at The University of Melbourne is the oldest medical school in Australia.

About the Role
The Office Coordinator will manage a range of initiatives and projects simultaneously and requires high-level administrative skills and excellent communication. Working as a key member of the MMS executive office, this position will flexibly contribute to team-based tasks, support team activities and project coordination.

Responsibilities include:

  • Identify and contribute to the development, refinement, and implementation of continuous improvement initiatives, including reviewing processes, updating guidelines and organisational charts and directories to ensure the smooth running of the MMS executive office.
  • Provide project support for a range of activities and working groups to progress Melbourne Medical School initiatives under the guidance of the Executive Officer (Business Development).
  • Jointly manage the secretariat function of the Melbourne Medical School Executive Committee including responsibility for agenda planning, coordination with invited guests, minutes and follow-up action items.
  • Maintain and develop the Melbourne Medical School website and intranet to support the School's web presence ensuring information is clear and accessible to MMS partners and the wider community.
  • Manage designated School events from planning, organising and pre-event marketing and communications, event-day logistics management, including staff co-ordination, to post-event debrief.

About You
The Office Coordinator will be required to undertake concurrent tasks demonstrating excellent organisational, prioritisation and time management skills augmented by well-developed technical skills and a forward-thinking approach. A flexible, positive attitude is required as well as the ability to work collaboratively with colleagues and external partners will be critical to this role.

You will also have:

  • A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in technical or administrative fields; or an equivalent combination of relevant experience and/or education/training.
  • Excellent interpersonal, written, and verbal communication skills including the ability to provide advice, sound judgement and support to a range of stakeholders at all levels.
  • Highly developed skills in time management, setting priorities, planning, and organising own work and that of others to meet deadlines.
  • Demonstrated ability to lead with positivity and thrive through change in a dynamic and  varying environment.
  • Demonstrated culture of taking ownership, working collaboratively as a value-based team, connecting with people and building positive relationships in your workplace.
