The TL Robertson Library is a vibrant hub of knowledge at Curtin University which provides an array of innovative services and programs to support the University’s research and the development of students as independent learners and researchers. Open 24/7, the library stands as one of Western Australia's busiest, bustling with study spaces, exhibition areas, a creative Makerspace and numerous function and event venues! The event spaces are open for booking by university staff and student clubs, which cater to conferences, seminars, and various functions, welcoming external visitors alongside Curtin staff and students.
Your new role
We are seeking an organised Library Venues Assistant to play a crucial role in optimizing our venue spaces for events on a full time, continuing basis. In this role you will coordinate venue spaces, communicate with a variety of university stakeholders, and manage event bookings and schedules. You will also provide support to the Coordinator, Library Exhibitions and Programs, with tasks relating to Library exhibitions and the Library’s Communications Officer for other general Library communications and promotions tasks.
This role requires you to be flexible in your working hours as events start at different times and you will play a crucial part in ensuring customers’ events get off to a great start.
In this role, you will:
- Manage bookings efficiently, demonstrating strong organisational skills.
- Effectively communicate with diverse university stakeholders to understand event requirements and manage venue spaces to suit their needs.
- Provide inductions for event organisers, covering equipment and facilities such as audiovisual and computing equipment, lighting, catering, and furniture.
- Coordinate and manage venue logistics effectively.
- Address any issues with space management and technology that arise.
- Administer a shared mailbox and calendar.
- Helping set up and dismantle events efficiently through to completion.
- Maintain knowledge of Library facilities as they evolve and provide specialist training and advice.
- Contribute to the Library’s promotional and communication program to promote Library activities, raise the Library’s public profile and enhance community engagement.
- Background in communications or venue coordination (desired).
- Excellent communication and interpersonal skills.
- Ability to network and build strong relationships.
- Proficiency in problem solving.
- High attention to detail.
- Demonstrates a strong sense of ownership and pride in their work.
- Physically capable to assist with setting up venues (moving tables, chairs etc).
- Basic technological proficiency to assist with setting up, troubleshooting and training others to use audiovisual (AV) equipment.
- Demonstrated ability to work independently and effectively as part of a team.
- Passionate about events and creatively minded.
