YOUR ROLE


The Library Collections Officer directly reports to the Collections Management Librarian to organize and carry out tasks relevant to acquisitions, collection management, assessment, discoverability and access to the Library’s resources. This position has a focus on subscription/ non-subscription resources and in dealing with monographic resources and those held locally in all formats.

Any member of the Library staff may be required to assist in other areas of Library operations for limited periods, should circumstances warrant. This position would also back-up the Library Administrative Officer in both Saigon and Hanoi, as needed. The role may also be required to work across the Library on projects and programs of work with a variety of library stakeholders including international and local vendors, other regional and global university library staff, RMIT students, RMIT staff, and RMIT academics.

KEY ACCOUNTABILITIES

  • Assist the Collections Management Librarian in the development and delivery of training within the team and for external and internal library stakeholders

  • Prompt and efficient management of licenses and resource access agreements for applicable library resources in all formats

  • Update bibliographic and holding information on the Alma, Primo, Leganto platforms and other university systems

  • Manipulate and load descriptive data for library resources as needed

  • Contribute to the communications strategy regarding library collections

  • Provide collections data and provide coordination for related projects

  • Investigate and provide direction in dealing with routine ordering and metadata issues

  • Undertake acquisition and description of new library resources in all formats as needed

  • Assist in collection development, analysis and maintenance activities as directed

  • Undertake specific projects and tasks as directed

  • Liaison with all stakeholders to receive order recommendations for digital and physical resources

  • Take responsibility for all physical processing of new materials (Stamping, adding magnetic strips, tagging RFID, labelling)

  • Catalog new library materials including both print and digital resources following current classification standards

  • Collect and import metadata from open resources into the library management system and enhance the bibliographic records when needed

  • Assist in the implementation of AI into library workflows where applicable under the supervision of the Collection Management Librarian

  • Work with teams in both Vietnam and Melbourne as needed, under the direction of the Collection Management Librarian

  • Contribute to the development and management of the collection workflows regarding selection, de-selection and inventory control of all formats

  • Work to improve the collection development policy and procedures

KEY SELECTION CRITERIA

  • Experience in the management of metadata using current industry description standards and schemas for Library resources in all formats, preferably in an academic library

  • Demonstrated focus on delivering excellent customer service

  • Flexible approach to change and ability to adapt to changes in workflows and the work environment

  • Demonstrated ability to work co-operatively and contribute to the achievement of team goals

  • Demonstrated aptitude and skills in using a range of software applications

  • Well-developed verbal and written communication and interpersonal skills including the ability to liaise with a diverse range of stakeholders

  • Demonstrated problem solving skills, including critical analysis and evaluation

  • Aptitude for using Microsoft Office Suite with strong skills in using Excel to manipulate large data sets.

  • Degree in Library and Information Services or equivalent; 2 years subsequent relevant experience in an academic library; or an equivalent combination of relevant experience and/or education/training.

  • Ability to display appropriate behaviours in line with the position and RMIT Values.

English Proficiency

  • The minimum requirement is IELTS (General) 5.5 or equivalent.
