About the Role

The Feasibility Assessment Project team are seeking Expressions of Interest from current Professional staff to fill the position of Administration Officer (HEO4).

This position works as part of the Project Management Office (PMO) supporting the Feasibility Assessment Project and contributes to the effective operation of the PMO by supporting the efficient and effective operation of the Project and PMO teams.

About the Feasibility Assessment Project Management Office

The Feasibility Assessment Project Management Office (PMO) has been created to support the work to explore the feasibility of creating of a University for the Future between UniSA and The University of Adelaide.

The PMO is responsible for coordinating and enabling the range of activities across UniSA to progress the feasibility assessment to enable the universities councils evaluate this significant change in late June 2023. Reporting to the Vice Chancellor, the PMO works both across UniSA and in close collaboration with a similar PMO in The University of Adelaide to support the successful profession and delivery of the feasibility assessment. This is a significant strategic project for both universities, and the PMO will play a key role in the success of the feasibility assessment.

Core Responsibilities

  • Provide diary and email management support as required. Liaise with internal and external stakeholders to negotiate appointments.
  • Implement systems and practices that facilitate forward planning, ensuring PMO team members have the necessary information for meetings and appointments.
  • Assess, prioritise and prepare responses to all face-to-face, telephone and email enquiries. Redirect enquiries if necessary and follow up to ensure matters are well managed.
  • Provide high-level support for planning and coordination of PMO events and requirements including:
    • Supporting the preparation of project/event plans, communication materials, internal reporting and briefings
    • Liaising with external stakeholders and their offices
    • Coordinating meetings, seminars including preparing initiations, RSVPs, catering etc.
  • Implement and maintain systems and processes to ensure an effective, confidential and accessible electronic records management system of emails, files and other associated records. Ensure compliance with the University’s policies, procedures and system requirements.

Essential Skills and Experience
  • Post-secondary qualifications in a business or administrative related discipline or demonstrated experience supporting senior managers in a personal assistant or administrative support role in a customer-oriented environment.
  • Demonstrable organisational skills including the ability to prioritise and manage competing demands.
  • High level interpersonal and communication skills to liaise effectively and sensitively at all levels, both internally and externally, demonstrating professionalism and customer service with a diverse range of people and cultures.
  • Demonstrated ability to produce a variety of high-quality written correspondence and presentations with high level attention to detail and the ability to provide editing and presentation assistance on a broad range of documentations.
  • Advanced knowledge and experience in the suite of programs in Microsoft Office and experience in the establishment and maintenance of a records management system.
  • Demonstrable alignment with the University's mission, values and culture.
