  • Full time, continuing opportunity for an experienced, professional Executive Assistant to support the Director, Strategic Ventures and Director, Central PMO
  • Act as the first point of contact representing the Directors, utilising your extensive administrative, operational and client service skills
  • Base Salary $89,759 + 17% superannuation 

About the opportunity

The Office of the Vice Principal (Strategy) plays a key role in providing critical support to senior leaders within the Portfolio. As a result, we are seeking an Executive Assistant to the Director, Strategic Ventures and Director, Central PMO to provide a full suite of professional executive support services, supporting both Directors with day-to-day requirements. This role is ideal for a skilled Executive Assistant with a high degree of capability and experience in diary and task management for senior executive professionals.

Your key responsibilities will be to:

  • support the Directors by ensuring highly proficient coordination and execution of critical activities and tasks, enabling the Directors to fulfil their management accountabilities
  • determine the strategic or operational significance of incoming inquiries and correspondence to identify critical arising action and/or respond accordingly
  • provide secretariat support at portfolio level and assist the Directors with coordination and preparation of meeting documentation, papers, and briefing notes
  • develop relationships with senior executives, senior managers and staff across the University, maintaining an understanding of the key priorities of the Directors
  • provide general administrative support to the Office of the VP (Strategy) and wider Portfolio teams, as allocated by your manager
  • manage a corporate card and process expenses on Concur, as required.

About you

  • working experience as a professional Executive Assistant supporting senior executives, within large and complex organisations (tertiary sector highly desirable)   
  • a pre-emptive and proactive approach in relation to key priorities, daily activities, and contingency planning
  • exceptional coordination and organisational skills with extensive experience in diary and task management
  • elevated ability to build and manage trusted stakeholder relationships, with tact and professionalism, at a senior level
  • proven track record of working effectively in a small team and contributing to a team platform
  • flexibility in their organisation and planning skills to balance competing agendas and demands in a fast paced, time pressured environment.
