  • Key Executive Assistant and Project Officer role supporting the Head of the General Practice Clinical School

  • Part time 0.5 FTE, continuing  position for an experienced Executive Assistant to support the Co-Heads of the General Practice Clinical School, Sydney Medical School

  • Lead and contribute to deliver professional administrative and operational tasks and projects to  support the achievement of the GP Clinical School’s mission and objectives

  • Base Salary $ $99,455+ $107,216 + 17% superannuation

  • Camperdown location.

About the opportunity

The General Practice Clinical School within the Faculty’s Sydney Medical School was created to transform health care and health care training in the community. We aim to become a centre of excellence in research, research training and knowledge exchange by General Practitioners, and the preferred site for academic GP training and research collaboration for Community and Primary Health Care organisations in the state and country.

The General Practice Clinical School is an academic school. This role does not involve patient contact.

As the first point of contact to the School, the Executive Assistant will provide professional executive support to the Heads of the GP Clinical School and exemplary client service to our General Practitioner stakeholders.

You will provide effective general management of operational and administrative systems, processes and programs to meet these requirements in alignment with University research, education, internal school communications, and legislative/regulatory requirements, and ensure a safe working environment for all staff and students.

Your key responsibilities will be to:

  • provide broad, high level professional executive support to the Heads of Clinical School and effectively manage the general day to day office operations and administration activity

  • respond to enquiries to parties internal and external to the University, ascertaining the type and level of response required, deploying discretion, empathy and exercising a sound knowledge of the School’s key priorities

  • provide diary management and manage travel arrangements for the Heads of Clinical School including itineraries for local, interstate, and overseas travel, in compliance with university policies and procedures

  • ensure that matters brought to the Heads of Clinical School are handled professionally.

  • build and manage effective working rapport with key stakeholders and staff across the University and with external stakeholders

  • provide project officer support for delivery of ad-hoc school projects such as database maintenance and event planning.


 

About you

  • a tertiary qualification in business administration and relevant experience in business administration, OR either Cert IV- or good relevant equivalent experience within relevant field and role

  • working experience as an Executive Officer (or similar), supporting senior leadership within a complex and multifaceted organisation (tertiary sector is highly desirable)

  • demonstrated excellent time and workload management skills with demonstrated ability to prioritise effectively, manage multiple tasks to meet deadlines and achieve required outcomes

  • understanding and proficiency in executive diary management and travel booking/itinerary arrangement

  • excellent verbal and written communication skills, with experience in handling front line enquiries and providing exceptional customer service

  • well-developed negotiation, conflict resolution, relationship building and influencing skills including extensive experience with internal and external executive level stakeholders

  • proactive and positive approach to problem solving and process improvement

  • excellent proficiency with the full suite of Microsoft Office.
