    About This Opportunity 

    We are seeking a highly motivated, organised and experienced Executive Assistant to provide a high level of executive assistance and administrative support to our Queensland Alliance for Environmental Health Sciences team (QAEHS). QAEHS is a multidisciplinary research centre committed to world-class research across the environmental health sciences including environmental toxicology, epidemiology, microbiology, health risk assessment and communication, and state-of-the art monitoring and analytical technologies to quantify emerging environmental health risks.

    As the Executive Assistant, you will provide a range of administrative and secretarial support to the QAEHS management team, while also supporting the overall operations and day-to-day functions of the office. The role involves liaising with a range of internal and external stakeholders, preparing budgets and reports, resolving problems and providing support to the QAEHS team.

    Key responsibilities will include, but are not limited to: 

    • Coordinating and providing administrative and/or secretarial support to the Centre Director and relevant boards and committees.

    • Proactively planning, coordinating and supporting key divisional project events and conferences, and their logistical details, while anticipating and managing potential conflicts.

    • Ensuring the relevant senior or executive staff member/s are briefed on relevant issues and background information in preparation for meetings.

    • Providing oversight and coordination of information and the day-to-day administrative flow with the relevant senior or executive staff member/s office.

    • Liaising with and responding to a wide range of enquiries from staff and students at all levels across the University, representatives from government, industry and members of the wider community, initiating further action and follow up as necessary.

    • Organising relevant financials (i.e., managing reimbursements and other expenses in line with University financial policy and procedures).

    • Managing financial delegations, processing and payment approvals as required, on behalf of the relevant executive/s.

    This is a part-time (50%), fixed-term position through to 30 June 2026.

    At HEW level 5, the full-time equivalent base salary will be in the range $75,878 - $84,342, plus a generous super allowance of up to 17%. The total FTE package will be up to $88,778 - $98,681 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.

    About You  

    • Completion of a relevant Degree, Advanced Diploma or Certificate level qualification with subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training.

    • Previous administrative, executive support or secretarial experience.

    • Excellent interpersonal and written communication skills.

    • Demonstrated commitment to a high level of customer service.

    • High level organisational and time management skills, including the ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail.

    • Advanced stakeholder management and engagement skills.

    • Ability to work effectively within a team environment, and independently.

    In addition, the following mandatory requirements apply:
