Your role

The Coordinator, Events and Communication at RMIT's The Business School (TBS) plays a crucial role in supporting the planning, coordination, and execution of events and communication activities within the School. Reporting to the Senior Coordinator, Events and Communication, this position involves working closely with internal and external stakeholders to ensure the successful delivery of a wide range of events, including conferences, seminars, workshops, and networking events. The incumbent will assist in event logistics, budget management, and on-site support, while also contributing to the development and implementation of communication strategies to promote events and initiatives. This role requires strong organisational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Key Accountabilities

Events Coordination:

  • Assist in the planning, coordination, and execution of a wide range of TBS events, including conferences, seminars, workshops, and networking events.

  • Liaise with internal and external stakeholders to determine event objectives, requirements, and logistics.

  • Coordinate event logistics, including venue selection, catering, audiovisual equipment, signage, and transportation.

  • Manage event budgets, including cost estimation, tracking expenses, and ensuring financial compliance.

  • Develop event timelines and schedules, ensuring all tasks are completed in a timely manner.

  • Coordinate event registration processes, including online registration platforms and attendee management.

  • Oversee event setup and breakdown, ensuring all necessary equipment and materials are in place.

  • Provide on-site event support, including managing registration, handling inquiries, and troubleshooting issues.

  • Collaborate with event speakers, presenters, and sponsors to ensure their needs are met.

Communication Support:

  • Assist in the development and implementation of communication strategies to promote events and initiatives.

  • Create engaging and informative content for various communication channels, including newsletters, websites, social media, and email campaigns.

  • Coordinate the production and distribution of promotional materials, such as brochures, posters, and digital assets.

  • Monitor and update The Business School's social media channels, ensuring consistent branding and timely content.

  • Maintain and update event calendars, websites, and databases to ensure accurate and up-to-date information.

  • Assist in media relations activities, including drafting press releases, coordinating media interviews, and managing media inquiries.

  • Monitor and analyse communication metrics, such as website traffic, social media engagement, and email open rates.

  • Assist in post-event evaluation and analysis, gathering feedback and identifying areas for improvement.

Carry out or support other duties as directed by the Senior Coordinator, Events and Communcation, and Senior Managers

Key Selection Criteria

  • A relevant Bachelor’s degree.

  • Demonstrated at least 3-year experience in providing a high level of administrative support and events coordination in a medium to large scale organisation. Experience in a higher education sector is preferable. 

  • Demonstrated ability in service excellence with a high-quality approach to students, staff, internal and external stakeholders.

  • Highly developed interpersonal skills, including the demonstrated ability to effectively communicate with staff at various organisational levels and to work cooperatively as a member of a team.

  • Well-developed organisational, planning, and analytical skills with a high level of attention to detail and the ability to prioritise tasks.

  • Possess strong verbal and written communication skills in both English and Vietnamese, with the ability to effectively engage with a diverse range of stakeholders.

  • Proven ability to interpret and apply policies, procedures and systems consistently, provide advice and to drive creative solutions through to implementation within the immediate work area.

  • Demonstrated skills in database management, record keeping, website management, and social media.

  • Experience in using a range of Microsoft Office Suite programs and multimedia applications is preferred.

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
