Our Campus Services division is currently seeking a Coordinator who is very passionate about creating a difference in the tertiary education sector community. Liaising with staff across the University, you will play a key role in providing guidance, support and solutions to problems and issues raised by staff and the management team.

The Role

A self-motivated individual, with a strong attention to detail, you will be responsible for providing local human resources support and advice to the Executive Director and divisional staff, as well as assistance in the areas of calendar management, reporting, finance and other administrative duties.

This is a 0.8 Part-time, fixed-term contract until January 2022 and can be based at either of our Campuses in Victoria once we return to work from campus.

Your key responsibilities will include:

  • Providing high-level guidance, support and solutions to problems and issues raised by staff relating to people and culture ensuring a positive and supportive environment is established.
  • Diary management for the Chief Operating Officer (COO), the Executive Director and the Division, maintaining appointments/meetings, travel plans, catering and audio/multi-media requirements to ensure exceptional, creative and comprehensive diary management.
  • Keeping up to date with the Division’s staff workforce plan including recruitment activities, casual and visitor engagement, leave planning, staff compliance, working with children checks and DeakinAchieve.
  • Research and prepare summaries, reports, discussion papers, submissions, presentations and correspondence as required by the Manager, Business Services and Communications.
  • Establish, review and recommend improvements to business processes within service units across the Division.

To be successful, you’ll have:

  • An equivalent combination of training and experience or a tertiary qualification in a relevant discipline.
  • Extensive administrative and management experience working within a large organisation with complex administrative structures, policies and procedures; preferably in a tertiary educational institution.
  • Excellent communication and interpersonal skills with the ability to produce clear and accurate communications.
  • Demonstrated ability to organise and plan, and to meet rigid and conflicting demands and deadlines.
  • Proven experience in handling sensitive and personal information in a confidential and appropriate manner.
  • Proven computer literacy skills, including use of Microsoft Office suite, with attention to detail and a high level of accuracy.
