College of Humanities, Arts & Social Sciences
Under routine to general direction, the College Support Assistant will form part of the Operations Support Team and provide operational and administrative support to the College.

Key Position Responsibilities

The College Support Assistant will be responsible for providing accurate, efficient and timely administrative support that may include (but not limited to):

  • Providing day-to-day administration support by undertaking the following:

  • General administration duties including mail, purchasing stationery and office supplies as required and/or directed by staff and maintaining stock in stationary rooms;

  • Front line and reception duties when required;

  • Managing catering orders for meetings, workshops, events and interviews; and

  • Undertaking an executive support role for relevant committees and meetings by drafting and preparing agendas and associated papers, distributing minutes in a timely manner and following up on meeting outcomes without direction.  

  • Coordinating incoming and outgoing communications and documentation, including distribution as appropriate.

  • Coordinating appointments for the College Leadership Team when required.

  • Monitoring workflows and prioritising workloads to ensure that commitments are met.

  • Assisting in the preparation of material for presentation at conferences, meetings, workshops and committees and organising travel as required.

  • Maintaining files and records in an accurate manner.

  • Provide administrative and operational support to the College when required.

  • Provide administrative recruitment support when required.

  • Any other responsibilities in line with the level of the role as assigned by the Supervisor and/or the University.

Key Position Capabilities

  • Significant relevant administrative experience.

  • Demonstrated experience of administrative support services and the ability to exercise appropriate levels of judgement, initiative and confidentiality, and to analyse, collate and distil information from a wide range of sources.

  • Well-developed interpersonal skills with demonstrated ability to liaise effectively with a wide range of the public, staff, academics, clinicians and students.

  • Excellent organisational and administrative skills, including the ability to work collaboratively, prioritise workload, problem solve and meet deadlines in a complex and busy environment.

  • Well-developed written and oral communication skills including experience with the preparation of documentation, including research data input and other material.

  • Ability to adapt to a changing team environment.
