The College Executive Support Officer provides high-level executive support to the Vice-President and Executive Dean and, more broadly, the College Leadership team. The incumbent will be responsible for performing a range of administrative tasks and functions, providing high-level coordination and support for the delivery of executive-led projects and initiatives prioritised by the College to support the achievement of University and College strategic plans. A key focus of the position is to ensure that a range of incoming matters and general enquiries across functional areas are progressed and resolved in a timely and efficient manner, either directly or by referral to the appropriate officer.
This position requires the ability to work effectively, leveraging across College teams, and engaging with a diverse range of internal and external stakeholders. As this position is part of the broader College Operations team that collectively supports the College’s Executive Leadership team, the incumbent can expect to provide general support to the College’s broader leadership group.
This position will receive broad direction from the Vice-President and Executive Dean, Executive Officer and members of the College Leadership Team. They will be responsible for managing their own workload and other priorities while ensuring that their work plans are consistent with the desired outcomes and the priorities of the College. The incumbent is expected to operate within a framework of broad operational policies and external requirements.

Key Position Responsibilities

  • The College Executive Support Officer is responsible for:

  • Providing tailored, high-level support to the Vice-President and Executive Dean, and College Leadership Team more broadly, through:

  • Assisting with the management of incoming business to the Vice-President and Executive Dean, including liaising with other staff of the University as required and taking appropriate action to ensure matters are dealt with in a timely manner and in accordance with relevant University policies and practices

  • Drafting correspondence and presentations;

  • Preparation and compilation of diverse and complex reports, papers, proposals and submissions;

  • Responding to complex requests to both internal and external parties;

  • Undertaking research and analysis across a broad range of issues and providing critical comment and briefings in relation to active and planned initiatives.

  • Organising a range of events, functions and special events on behalf of the College.

  • Providing high-level support to committees and working groups, including the preparation of agenda papers, minutes, correspondence and undertaking any follow up actions.

  • Ensuring the Vice-President and Executive Dean is well prepared with information, paperwork and associated documentation in relation to relevant working groups, committees and boards (internal and external).

  • Establishing and maintaining effective and strategic working relationships with the College leadership team, members of the College, associated research institutes, industry partners and other internal and external stakeholders.

  • Providing high-level administrative support to help facilitate College and University change initiatives, process improvements and communication.

  • Adopting a high-quality and consistent approach, utilising University systems, tools and processes to optimise delivery of agreed outcomes.

  • Organising travel, accommodation and function logistics for the Vice-President and Executive Dean and College Leadership Team required. In addition, where appropriate, the incumbent will support travel, accommodation, function and workspace logistics for external visitors as instructed by the Vice-President and Executive Dean and Executive Officer.

  • Any other responsibilities in line with the level of the position as assigned by the Vice-President and Executive Dean, Executive Officer and/or the University.

Key Position Capabilities

  • Relevant tertiary qualification, or equivalent combination of experience and/or education and/or training.

  • Demonstrated high-level project coordination and project management experience.

  • Demonstrated experience in leading and motivating project team members to deliver high quality services and outcomes.

  • High-level communication, interpersonal and negotiation skills with demonstrated capacity for confidentiality and ability to cooperate and communicate effectively with people at all levels. Demonstrated experience in mentoring and guiding staff and working collaboratively within a team.

  • Well-developed written communication skills, including demonstrated capacity to respond to enquiries in confidence, autonomously and draft correspondence and high-quality reports with recommendations for complex and sensitive issues.

  • High-level organisational skills, including demonstrated ability in problem solving, priority setting and working to deadlines with high quality outcomes, apply attention to detail and relate tasks to the wider context.

  • Demonstrated commitment to high quality outcomes, including an attention to detail, the ability to collate and analyse information from a wide range of sources, and an ability to relate tasks to the wider context.

  • Demonstrated ability to exercise independent judgement within broad guidelines, take initiative, flexible and adaptable

  • Demonstrated ability to collate and distil information from a wide range of sources and assist with or prepare and compile briefing papers, proposals, presentations and background documents.

  • Well-developed problem-solving capabilities and the ability to work with broad supervision to determine and prioritise tasks and meet deadlines.
