About the Job
Life-changing new medical and enabling technologies designed alongside the people who need them will be created by MedTechVic, a ground-breaking initiative by Swinburne University of Technology. Led by Swinburne, and working closely with industry and community partners, MedTechVic will bring people living with disabilities together with world-leading technology and experts in design, digitalisation, health and manufacturing to create innovative tailor-made medical and assistive devices. Swinburne has received a $6.7 million boost from the Victorian Government to fund this first-of-its-kind hub. To support the co-creation of enabling and assistive technologies, the delivery of programs and processes and the development of clinicians with product development skills, Swinburne University of Technology will be building a new facility where this work can be undertaken. There will also be applied research and development projects that will span design, AR/VR, digital manufacturing and clinical activities.

The position of Assistive Technologies Administrator will report into the MedTechVIC Project Manager and undertake a wide range of administrative functions in support of the MedTechVIC project activities. You will provide administrative support for the activities of this initiative including the coordination of document approvals, financial processes, contracts and student placement documentation in line with University procedures and policies; organise meetings and workshops; publicise events, and schedule and manage client and participant appointments within the LivingLab. You will enjoy working as part of a collaborative team in a rapidly changing environment.

About you
To be successful in the role, you will have:
• A degree in a relevant field; or an equivalent combination of relevant experience and/or education/training.
• Demonstrated experience in the provision of quality administrative and support services within a demanding environment.
• Proven ability to consult and liaise with internal and external stakeholders and maintain effective and cooperative working relationships.
• Demonstrated ability to solve problems including adapting work practices.
Key Responsibilities
• Arranging meetings with internal and external stakeholders and appointments, creating agendas, taking minutes and noting action items as required.
• Managing the Co- Directors’ calendar according to their scheduling needs and requirements.
• Processing and maintaining accurate financial and purchasing records within the project; monitoring, checking and validating financial transactions and taking remedial action to rectify errors and discrepancies.
• Liaising effectively with internal and external stakeholders and collaborating to resolve queries and problems accurately and in a timely manner, providing clear advice and options.
• Coordinate the workflow of document approvals where appropriate within timeframes and according to authorised delegations.
