About the opportunity

The University of Sydney is welcoming applications for an Administrative Officer to support the Growing Minds Australia team. Growing Minds Australia (GMA) is an exciting new child and youth clinical trials network funded by NHMRC Medical Research Future Fund (MRFF) and led by Professor Mark Dadds and a team of 60 investigators. The clinical trials network has been funded for 5 years to increase the collaboration, coordination and efficiency in conducting clinical trials in child and youth mental health in Australia. You will be required to provide general administrative support for the clinical trials network. Under general direction, you will prepare documents, maintain records, update web materials, respond to queries, correspond with network members, take minutes at meetings, and source solutions to contribute to the day-to-day running of the network. As the first point of contact for the office, this role requires strong administrative and organisational skills to coordinate and undertake a range of operational activities on an ongoing basis.

Your key responsibilities will be to:

  • provide general administrative services and operational support to the work area

  • deliver daily administration activities and services ensuring that high quality and efficient administrative support is provided in a pro-active manner to staff, students, clients, and visitors

  • explore administrative matters and prepare advice

  • respond to a range of inquiries via telephone, email and in person, from staff, students, visitors and the general public regarding the clinical trials network and a wide range of the work area’s activities

  • provide high level administrative support including diary management, travel and accommodation management

  • coordinate of meetings including agenda and minute preparation, venue booking, catering, and IT facilities.

The School of Psychology was the first established Psychology department in Australia and is currently one of the largest and has a proud history of excellence that characterises all its research and educational activities. About you

  • a certificate IV in business administration or equivalent with relevant business administration experience

  • strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioritise workload during busy periods

  • numeracy skills together with experience in controlling income/expenditure for reconciliation/budget tracking and managing invoice payments and purchases

  • advanced computer skills, including Microsoft Office suite

  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service

  • working knowledge of software programs such as Hyperion Reporting System, Concur, Records Management, and Content Management Systems.
