The Opportunity

The Administrative Officer provides frontline service, in a regional, networked and customer focused team, in a fast paced, high-volume environment, delivering critical, day-to-day service-related activities for the University.  The customer is at the forefront of everything you do.

As a member of the College Operations group, the Administrative Officer provides seamless administrative and customer service delivery, particularly focused on contributing efficient, lean and responsive processes to support the day-to-day operations of the College of Arts, Law and Education (CALE).

You will need to be a team player, who places customers at the forefront of everything you do.  Strong organisation skills will assist you to work on multiple tasks at any one time. Taking initiative and effective prioritising is key to how you operate and will be second nature to you.   Communicating with stakeholders by phone, online and in person will complement your work across multiple systems, including our service management system.

 What you’ll do:

  • Maintain an understanding of current policies and procedures, and provide proactive, accurate, and solutions focused advice and enquiry management relevant to the College.
  • Actively contribute to a superior service culture enhancing the contribution to customers. Facilitate feedback on service levels and identify opportunities to improve service delivery; develop specialist expertise to lead key processes or initiatives within your role.
  • Deliver responsive and customer focused service, utilising quantitative and qualitative data from approved University systems/surveys/reporting.
  • Support the service requirements of the Colleges in a consistent manner by contributing to the development and implementation of Standard Operating Procedures and proficient use of approved University systems (e.g., ServiceNow).
  • Provide support to internal communications and events as directed, including interacting with students, their supporters and members of the general public to professionally represent UTAS.

­What we’re looking for:

  • This position requires relevant work-related experience in the Performing Arts industry and will provide administrative support to the learning and teaching program in areas including but not limited to audition scheduling, timetabling, examinations and other arts, administrative processes and tasks crucial to the efficient and effective running of performing arts program.
  • Demonstrated commitment to customer service excellence and proactively contribute to the continuous improvement of systems, processes and procedures.
  • Effective interpersonal, resilience, communication and influencing skills with a positive can-do attitude.
  • Demonstrated commitment to maintaining confidentiality.
  • Proven ability to work in a collaborative team environment and demonstrated capacity to act independently within established guidelines.

Salary details

Appointment to this role will be at HEO 4 and will have a total remuneration package of up to $86,321 comprising base salary within the range of $69,646 to $73,779 plus 17% superannuation.
