About the opportunity

The Administrative Officer will provide day-to-day administrative support to the Centre’s Operations Team to ensure all services are provided efficiently to meet the operating needs of the Centre. This would include general administrative, financial, and HR Administrative support.

The incumbent will use their administrative experience and judgement to problem solve and provide advice on policy and procedures for the delivery of work outcomes.

Your key responsibilities will be to:

  • provide general administrative services and operational support to the Operations Team

  • manage allocation, access, maintenance, and cleaning of the building spaces, raise issues of concern to the Manager or liaise with Campus Infrastructure Services (CIS) as appropriate

  • liaise with USYD Shared Finance Service Team on matters regarding accounts payable, receivables and procurement requisitions

  • assist in recruitment and appointment process for USSC employees, non-resident fellows, volunteers, visiting fellows, honorary titles and other affiliate positions

  • assist in preparing casual tutor schedules and manage casual tutor timesheets

  • assist with coordinating Centre’s meetings, supporting the Operations Manager on diary management, travel, and accommodation management.

About you:

  • relevant qualification in HR and/or Finance or experience gained through any combination of education, training, and experience

  • excellent verbal and written communication skills, with experience in managing a wide range of enquiries and providing excellent customer service

  • ability to work both independently and as part of a team, taking initiative and exercising sound judgement in resolving matters that may arise as part of normal daily work

  • attention to detail with the ability to quickly spot and correct oversights and inconsistencies

  • critical thinking skills, the ability to use initiative, exercise judgement, and to prioritise workload during busy periods.

Please note: Visa sponsorship is not available for this position. For a continuing position, you must be an Australian or New Zealand citizen or an Australian Permanent Resident. Australian Temporary Residents may be considered for a fixed term contract for the length of their visa, depending on the requirements of the hiring area and the position.
