  • Salary: $67,739 - $76,139 per annum (plus 17% superannuation)


About the Role

The Administration Officer performs a broad range of administrative and operational duties. The position works as part of the Executive Services team and contributes to the effective operation of the Unit’s executive team. 

As a key professional staff member supporting the Academic Unit you will work closely with the Deans of Programs in particular to ensure the effective operation of the Academic Unit and make a positive contribution to the Unit in the delivery of world class teaching, research and education services.

Core Responsibilities 

  • Provide diary and email management support to the Deans of Programs and other members of the executive team as required. Liaise with internal and external stakeholders to negotiate appointment
  • Assess, prioritise, and prepare responses to all face-to-face, telephone and email enquiries. Redirect enquiries if necessary and follow up to ensure matters are well managed. Provide reception duties as required
  • Provide high-level support for planning and coordination of Academic Unit events and strategic initiatives including:
    • Preparing project/event plans, communication plans, design requirements, and event briefings
    • Preparing budgets and costings for events and initiatives
    • Drafting guest lists including researching external stakeholders and liaising with their offices
    • Coordinating meetings, seminars including preparing initiations, RSVPs, catering etc.
  • Implement and maintain systems and processes to ensure an effective, confidential and accessible electronic records management system of emails, files and other associated records for the executive office. Ensure compliance with the University's policies, procedures and system requirements

Essential Skills and Experience
  • Post-secondary qualifications in a business or administrative related discipline or demonstrated experience supporting senior managers in a personal assistant or administrative support role in a customer-oriented environment
  • Demonstrable organisational skills including the ability to prioritise and manage competing demands
  • High level interpersonal and communication skills to liaise effectively and sensitively at all levels, both internally and externally, demonstrating professionalism and customer service with a diverse range of people and cultures
  • Demonstrated ability to produce a variety of high-quality written correspondence and presentations with high level attention to detail and the ability to provide editing and presentation assistance on a broad range of documentations
  • Advanced knowledge and experience in the suite of programs in Microsoft Office and experience in the establishment and maintenance of a records management system
