The Department of Medicine is a large and diverse department in the Melbourne Medical School that undertakes research, postgraduate and undergraduate teaching within the University of Melbourne teaching hospitals. The Department of Medicine at The Royal Melbourne Hospital is the largest node of the Department, and includes staff and students working in the Melbourne Brain Centre at RMH.

The objectives of the Department of Medicine at RMH are to provide clinical and research leadership from the interface of basic science and clinical medicine across the medical disciplines within the environment of the Royal Melbourne Hospital, to teach undergraduate and postgraduate students, to perform high quality research, and to provide leadership in national medical and scientific bodies. The Department has students enrolled in Bachelor of Science (Hons), Master of Biomedical Science, Master of Medicine, Doctor of Medicine and Doctor of Philosophy students.  The Department also regularly hosts students for research training on exchange from other Australian and International Universities.

About the Role
The position of the Administration Officer is responsible for providing support to the bone density Unit.

A major component of the activity will be to arrange appointments for research volunteers and clinical patients, assisting with billing procedures and processing of the patients reports.

An ability and willingness to travel to an external work site is required.

Responsibilities include:

  • Be responsible for making bone testing appointments for research subjects and patients, including confirming appointment attendance the day before appointments.
  • Respond to enquiries (telephone, email and face-to-face) and provide appropriate information to patients and research participants.
  • Provide administrative support to a diverse range of activities, not limited to; uploading reports to the Royal Melbourne and UOM patients records; Sending reports to private doctors; Order and stock up the stationary and other supplies.
  • Work with other members of the research group to implement local practices and procedures taking into account the requirements of various clinical trials and studies to ensure the facility is run at top efficiency.

About You
You must be able to work effectively and harmoniously with other staff and with students and patients.

You will also have:

  • Completion of a diploma level qualification with relevant work-related experience, (or completion of a Certificate IV with relevant work experience, or completion of a post-trades certificate and extensive relevant experience and on the job training, or completion of a Certificate III with extensive relevant work experience), or an equivalent combination of relevant experience and/or education/training.
  • Well-developed verbal and written communication skills with the ability to relate effectively with a range of people across all levels of the organisation.
  • Demonstrated use of initiative and responsiveness in managing tasks and ensuring organisational objectives are achieved within stringent timeframes.
  • Demonstrated problem solving skills and a proactive approach to identifying and resolving issues using sound judgement.
