About This Opportunity 

We are seeking a motivated, energetic and customer focused Administration Assistant to support the effective and efficient operation of the UQ Psychology Clinic. This is an exciting opportunity to join a supportive team providing exceptional administration and reception support within a clinical setting.

Reporting to the Clinic Manager, this role involves a wide range of clinic coordination, reception and administrative support activities, including processing relevant financials, liaising with clients, supporting students and staff and facilitating the efficient functioning of the clinic's day to day administration.

Key responsibilities will include: 

  • Ensures prospective and current clients are provided with accurate information regarding the clinics’ programs and services.

  • Provides reception services to prospective and current clients of the clinics, including scheduling client appointments and overall coordination of the client-clinic relationship.

  • Facilitates efficient functioning of the clinic's day to day procedures and operations, in accordance with administrative protocols and standards.

  • Participates in the review and development of standard operating procedures.

  • Develops a very high level of knowledge in use of the School’s electronic Practice Management System.

  • Undertakes administrative quality control functions as relevant to the clinics, such as ensuring quality of data entry by students, tracking and coordination of consumables and resources and reviewing of financial information.

This is a part-time (80% FTE), continuing (permanent) position.

At HEW level 4, the full-time equivalent base salary will be in the range $70,235 - $74,468, plus a generous super allowance of up to 17%. The total FTE package will be up to $82,175 - $87,127 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.


About You

  • Completion of a diploma level qualification with relevant work-related experience.

  • Demonstrated experience working in a customer service position with a focus on administrative and reception responsibilities in a health care setting.

  • Demonstrated experience in the use of computer systems and other technology relevant to the position such as the Microsoft Office suite of programs, email systems, internet-based technologies and practice management software.

  • High level organisational skills to plan your own workload ensuring the needs of the clinic are met, whilst allowing for fluctuations in workload. 

  • Readiness to represent the School in a professional and courteous manner and according to contemporary standards of a health service in a high volume/pressure environment.

  • Aptitude for communicating with clients and students, including people with mental health concerns, and physical or intellectual disabilities, showing appropriate levels of empathy, respect and confidentiality whilst providing a high level of customer service.

  • Ability to work effectively and flexibly as part of a team.

  • Ability to work within an agreed work pattern within the hours of 8:00am - 5:00pm Monday to Friday.

In addition, the following mandatory requirements apply:
