  • One Full-time continuing, plus One Part-time (0.5 FTE) continuing position (fraction negotiable across both positions)
  • Commencement Salary: $59,338 pro rata per annum (plus 17% superannuation)


About the Role

The Administration Assistant: Research Projects Management is the first point of contact for entry level enquiries about research related post-award grant and project matters, directing other queries as appropriate. The position provides general administrative support to contribute to the efficient operations within the Research Projects Management team.

Research and Innovation Services provides support for the management of research and administers internal and national competitive research grants and projects. It is also responsible for ensuring the responsible and ethical conduct of research and for developing and implementing strategic initiatives to improve the quality of the experience and outcomes for postgraduate research students.

The Research Projects Management Team provides strategic and operational support to the Director/Deputy Director RIS, continuous improvement of systems and processes to support an enterprise-wide approach to the research project lifecycle, business analysis activities and the coordination and provision of expert advice on the research income component of the HERDC specifications.

Core Responsibilities

  • Management of the generic inbox including triaging of requests and where required referring these to other team members as appropriate
  • Under general direction, support the Research Projects Management Team by:
    • Entering data in relation to research project milestones and generation standard reports
    • Generation of invoices
    • Coordination of appropriate authorisations within the University and communicating, information between stakeholders regarding progress with allocated milestones
    • Assisting with the closure of projects
  • Maintain accurate and effective filing systems relating to research projects, including input of project related information and correspondence as necessary. In addition, monitor the files to identify any missing documentation and notifying the Senior: Research Projects Management as required
  • Contribute to the development, implementation and continuous improvement of processes and procedures to support the Research Projects Management team and promote a customer service culture

Essential Skills and Experience
  • Post-secondary qualifications or demonstrated experience, knowledge and skills in an administrative role
  • Demonstrated high level of accuracy and attention to detail including maintaining data and records on information systems
  • Demonstrated skills in the use of databases including experience in using the Microsoft Office suite, in particular Excel
  • Demonstrated organisational skills including experience in meeting deadlines, prioritising competing demands and using initiative
  • Sound interpersonal skills including the ability to communicate with people from diverse backgrounds
