Job Title: Finance & Grants Professional (Entry – Intermediate Level)

Job Summary:

This full-time, University Staff (non-classified) position assists in the coordination of policies and procedures and implements of grant management and grant financial reporting for the Division of Medical Oncology. Working under the direction and guidance of the Division Administrator, the employee works in related business affairs, funds, and resources of the various programs.

Key Responsibilities:

  • Work with the Medical Oncology Finance & Grants Senior Professional.
  • Process internal Financial and operational data sets; utilize financial expertise and available data tools to create and maintain financial reports.
  • Implement the execution of financial policies and procedures related to all facets of the University. Prepare the submission and payment of invoices; troubleshoot match exceptions, discrepancies, and serve as a financial/operational data steward for the Medical Oncology Division.
  • Work collaboratively with the Office of Grants and Contracts (OGC) and the set-up team to ensure the award setup accurately reflects the terms and conditions of the award as well as anticipated spending; request appropriate re-budgeting from OGC and/or sponsor. Transition projects from Pre-award to Post-award in an organized and collaborative process.
  • Analyze and evaluate awarded proposals, contracts, which may include subcontracts for compliance with funding agency, federal, state, and university requirements.
  • Coordinate receipt of awards and contract documentation; maintain proposal and funding records in database systems, and prepare scheduled and special reports, studies, and analyses. Work directly with Subcontractor, PI, and Post-Award Office to resolve issues. Work with UCD Grants and Contracts to financially close out all sponsored projects as required by sponsoring agencies. Assist faculty with budget analysis on all grant accounts to ensure that each account is spent according to budget proposal - alerts faculty if there are any discrepancies. Research and reconcile discrepancies on accounts.
  • Participates and/or assists in special projects, and performs other associated administrative duties, as assigned.

Work Location:

Hybrid - this role is eligible for a hybrid schedule.

Qualifications:

Minimum Qualifications:

Entry Level:

  • A bachelor’s degree in business administration, business, finance, accounting, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Intermediate Level:

  • A bachelor’s degree in business administration, business, finance, accounting, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year of professional level experience in ­­­­­­­­­­­­­­­­­­­­­­­­­­­­­­contracts and grant management.­­­­­­­­­­

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience in a university or healthcare environment focusing on medical research operations, grants and contracts management, and financial management.
  • Experience with Info Ed Proposal Development System or similar grant or contract submission software.
  • Experience with NIH and pre-award grant submissions.
  • Experience with payroll expense transfers (PETs) and Journal Entries (JEs).

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as:

Entry Level: $43,944 - $55,897

Intermediate Level: $47,821 - $60,828

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
