General Notes

A research core facility is a shared research facility that houses specialized scientific instruments and provides expert consultation and services to investigators. These facilities charge their users predetermined, University-approved rates on a cost recovery basis in exchange for access to state-of-the-art equipment that is generally too expensive for individual users to purchase or maintain. Access to equipment and services is rendered across the institution and facilitates research across several colleges/schools.

Purpose

Provides strategic and operational support to the Assistant Vice President for Core Facilities.


Responsibilities

  • Develops, manages, and provides oversight of annual and 5-year budgets for the Office of the Vice President for Research (OVPR) Core Facilities and associated units. Oversees financial reporting, account reconciliation, annual budgeting, transfers, and other financial tasks. Coordinates with OVPR HR regarding personnel matters, such as recruitment, performance reviews, and staff salary budget. Submits any costing allocation changes in Workday and approves documents as the cost center manager.

  • Coordinates a financial review of reporting unit’s business plans, including a review of personnel expenses and projected cost of equipment and consumables. Develops and manages a process for service center rate reviews and maintains an efficient workflow for review and approvals.

  • Supervises and mentors financial and administrative staff responsible for financial reporting, procurement, accounts payable, audit, purchase orders, and other administrative duties. Maintains an office culture with a strong customer service focus and high standards of performance.

  • Serves as a contract liaison for the core facilities units across campus.

  • Serves as the Electronic Office Manager (EOM) and OHS Contacts System Manager for the OVPR Research Core Facilities units.


Required Qualifications

  • Bachelor’s degree in finance, accounting, or business administration or related field.

  • At least 6 years of professional level accounting or financial experience with 3 years of supervisory experience. 

  • At least 3 years of experience in billing and/or procurement practices.

  • Detail oriented with strong organizational and time-management skills.

  • Strong interpersonal and communication skills, including the ability to collaborate effectively with cross-functional teams.

  • High level of proficiency with Excel.


Preferred Qualifications

  • More than 6 years of experience in finance or accounting.

  • More than 3 years of experience in billing and procurement practices.

  • Knowledge of UT Austin fund accounting.

  • Extensive knowledge of UT Austin administrative policies and procedures.

  • High level of proficiency with DEFINE, Workday, and Cognos.

  • Experience in finance or accounting within a large university setting.

  • Experience working with service centers and/or research core facilities.

  • Proficiency with Microsoft Office 365.


Salary

$100,000 + depending on qualifications
