Job Description

Purpose:

The Advising Coordinator, under direction of the Director of Academic Advising, leads and supervises a team of Academic Advisors, advises students on program and course selection, discusses career goals, and advises students on degree completion. Participates in and supports preparation for orientation of first-time in college and transfer students, and on-campus recruiting events for undergraduate students. Understands general education curriculum, helps students set academic goals, and addresses student’s academic concerns, making appropriate referrals as necessary.

Responsibilities: 

  • Leads and supervises a team of academic advisors. Assists the Director in developing and implementing the strategic plan for undergraduate advising. Supports day-to-day functions of advising team and provides guidance to advisors on registration processes and procedures that are flexible and responsive to students’ needs. Oversees and completes special projects, programs, and processes related to undergraduate advising. Helps to ensure the success of academic advising by assisting the Director in administration and assessment as needed. 
  • Provides academic advice and guidance to undergraduate students related to career goals, academic requirements, course selection, internships/co-ops, professional and personal concerns, withdrawals, q-drops, add/drops, no grades, housing, financial aid, and other student services. Advises transfer and current students on college admissions, re-admission, and change of curriculum.
  • Manages and tracks students’ academic standing in accordance with university, college, and department policies. Advises students on scholastic probation and ensures students understand requirements to return to good academic standing. Works collaboratively with the Academic Success Center to facilitate student completion of success program certificates. 
  • Monitors student academic progress, prerequisite completion, and degree requirements, identifies and tracks closet majors, verifies completion of degree requirements including running routine degree audits, reviewing degree plans, course prerequisites, and submitting faculty-approved adjustments and/or curricular exceptions. 
  • Advises students on academic preparation, time management, test anxiety and study skills. Refers students to University resources for students with disabilities, writing assistance, and counseling.
  • Prepares various academic and advising reports, develops and maintains revisions to advising materials. Supports and participates in new student conferences for first-time in college and transfer students. 
  • Facilitates communication between team and academic units. Ensures advisors remain current with curriculum and policy changes. Assists in developing and maintaining an Advisor’s Handbook reflecting common policies and guidelines based on best practices.
  • Plans and directs workflow, investigates complaints and resolves problems as able or escalates accordingly, coordinates training for new advisors along with the Director. May serve on department, college and university committees as needed. 
  • Oversee the usage of the Navigate system for advisors to display availability, scheduling of advising appointments, and documenting advising sessions and other relevant information important to students’ academic record.
  • Other duties as assigned, including up to 10% departmental service of allowable functions as assigned by the AOC Dean and with consultation with Department Heads.

Education and Experience:

  • Bachelor’s degree in an applicable field or equivalent combination of education and experience.
  • Five years of related experience.

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications. 
  • Ability to communicate clearly and effectively to ensure understanding. 
  • Ability to work with groups of people and be helpful, respectful, approachable, and team oriented. 
  • Ability to build strong working relationships and a positive work environment. 
  • Ability to multi-task and work cooperatively with others.
