Position Summary
The Transfer and Graduate Admissions Counselor is responsible for engaging in recruitment activities and providing direct support to prospective students with applications and application records up to initial university enrollment. As appropriate, position directs students to other university staff to aid with admissions processes. The Transfer and Graduate Admissions Counselor reports to the Associate Director of Transfer and Graduate Admissions.

Description of Job Duties
  • Advises on admissions requirements, application procedures, and uses knowledge of university policies for evaluation of previous credit and career interest to prospective students.
  • Responds to admissions inquiries in a timely manner with continued communication through the enrollment process, utilizing all available means of communication technology including email and texting platforms.
  • Acts as an advocate for the prospective student to resolve application issues and coordinate with staff throughout the admissions process through initial enrollment.
  • Tracks student and partner communications and enrollment results in an accurate and timely manner.
  • Reviews prospective student documents toward an admission decision, conducting outreach via phone, email and texting platforms to move students through enrollment funnels appropriately.
  • Works with processing and documents receiving areas to update student records.

Description of Job Duties
  • Represents UIW Broadway Campus at various related internal and external meetings, community events, and college fairs to promote and showcase educational options, both in-person and virtually.
  • Assists and attends on/off campus events to promote, engage and encourage prospective students toward enrollment at UIW. This requires extensive traveling locally and some travel within the state of Texas.

Description of Job Duties
  • Serves as official admissions contact with the Office of Research and Graduate Studies and program coordinators.
  • Maintains relationships with program directors, faculty, staff, and other departments.
  • Cooperates with other UIW departments to assist prospective students and track progress of applicants through enrollment.
  • Performs outreach to external sources, companies, and organizations to conduct group presentations and individualized communications on the features and benefits of university programs, both in-person and virtually.

  • Assists prospective students visiting the campus with questions about the application and admission processes.
  • Assists with the collection of documents required for admissions decisions.
  • Performs other duties as assigned.

  • Ability to prioritize and plan work activities efficiently.
  • Ability to identify and resolve problems in a timely manner, as well as adapt to shifting priorities.
  • Ability to continuously build knowledge and skill set, as well as share knowledge/facilitate training with Counselors I and II.
  • Strong customer service skills to meet customer needs as well as diffuse difficult/ emotional customers while showing respect and sensitivity to cultural differences.
  • Strong written communication skills to present information clearly and concisely with accuracy in spelling and grammar.
  • Ability to consistently meet attendance policy and be at work, meetings, and appointments on time.
  • Ability to follow instructions, take ownership of responsibilities and keep commitments; ability to complete tasks on time or notify appropriate person in a timely manner when alternate plans are appropriate.
  • Ability to take initiative in seeking increased responsibilities, taking independent actions and calculated risks, and asking for/offering help as appropriate, as well as engaging in self-development activities.
  • Ability to travel extensively locally using personal vehicle, as well as within the state of Texas using a rental vehicle.

Required Education
Bachelor’s Degree from an accredited institution.
Required Work Experience
Minimum one (1) year of relevant professional-level work experience in a higher education environment.
Preferred Qualifications
Two (2) years of previous recruitment experience in higher education or in marketing.
Required Certifications, Licenses or Registrations
  • Valid driver license with “Real ID” designation, as required for air travel, or ability to obtain by first day of employment.
  • Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.
Work Hours
Monday-Friday from 8am to 5pm, with some extended hours based on departmental needs to include some weekend work.
Physical Demands
  • Ability to regularly lift, push, and pull up to 20lbs of recruiting materials.
  • Ability to move about and actively engage with others during event preparation, execution of event, and post event activities.
  • Ability to travel extensively by vehicle.
