Transfer Course Articulation Specialist
Office of Undergraduate Admissions
The Office of Undergraduate Admissions is now accepting applications for a Transfer Course Articulation Specialist. As a member of the coordinated Course Articulation Unit, the Transfer Course Articulation Specialist will determine the transfer-ability of undergraduate coursework and serve as a point of contact regarding course articulation questions and concerns for a diverse group of stakeholders.
Duties & Responsibilities:

  • Use skill and professional discretion to evaluate off-campus transfer coursework for transfer applicants, current students and former Illinois students. This includes verifying the accreditation status of off-campus institutions, researching courses and institutions and analyzing non-traditional sources of transfer credit. Determine acceptability of transfer credit for both applicants and current students using careful judgment informed by campus policies, admissions policies, catalog descriptions, syllabi, instructional online sources and best practices from peer institutions.
  • Identify transfer coursework that requires faculty review to determine equivalency. Utilize the internal online course articulation system to submit and monitor the status of courses requiring faculty level review. Communicate with faculty members when they have questions regarding course review processes.
  • Use degree auditing software, such as U.Achieve, to enter, update and end transfer articulation records.
  • Utilize internal workflow systems to complete assigned tasks such as processing transfer student course articulations, credit-to-add requests for current students and online syllabus submissions. This includes responding to messages from OUA colleagues and routing as required.
  • Use the client relationship management system (Slate) to assist with Initiating and monitoring communications with applicants and current students regarding transfer course articulation tasks. This includes contacting students to request course syllabi and other materials required for the transfer course articulation process
  • Assist recruitment staff and admissions counselors in OUA with questions regarding transfer student processing, course articulations and questions from currently enrolled students. This includes meeting with students who have questions about processes.
  • Communicate with stakeholders regarding the transfer course articulation process. This includes external contacts such as community college staff, and internal contacts to such as advisers, faculty, and Office of the Provost Staff.
  • Assist in the development and maintenance of transfer student resources to include the Transfer Handbook, Transferology and Transfer Articulation Guides.
  • Develop and maintain extensive knowledge regarding trends and initiatives in transfer student and transfer coursework processing. This includes participating in email listservs, professional organizations and other professional development opportunities.
  • Assist the Assistant Director with various projects, including correspondence with external contacts, updating databases, and answering student questions regarding the transferability and articulation of coursework. Other duties as assigned.

Minimum Qualifications:
  • Bachelor's degree in business, communication, education, humanities, public relations, social sciences or a field related to the position.
  • Two (2) years (24 months) of professional work experience in admissions, records, registration and/or closely related experience within an educational setting. (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for (1) year (12 months) or work experience).

Preferred Qualifications:
  • Prior experience with Banner and/or U.achieve.
  • Prior experience with transfer course articulation.

  • Ability to exercise good judgment in the interpretation of admissions policies and in the handling of exceptional cases.

Appointment Information:
This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. We currently have two vacancies to fill. The expected start date is as soon as possible after the close of the search. Minimum salary for this position is $40,000.00. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements.
