Job Summary

Under general supervision, Transfer and Graduation Counselors (TGCs) provide moderately complex professional student services work and maintain the critical advising tools that are essential to faculty and professional advisors in guiding students to graduation. This is accomplished through articulation and production of degree audits/Program Advising Worksheets (PAWS); processing of course substitutions/waivers; review of concurrent enrollment requests and subsequent record updates; production of Graduation Checks; and through the expertise that they provide to campus constituents in their specialty areas.

Major duties and responsibilities:

  • Produce PAWS (degree audits) for incoming undergraduate students (transfer/freshmen) and graduate students who have been advanced to candidacy.
    •  Review and articulate all transfer work. Review, determine course equivalencies/applicability, and enter in the uAchieve institution articulation tables. Send course descriptions to academic chairs for course equivalency and applicability – then enter in uAchieve institution articulation tables.
    •  Analyze PAWS to ensure that courses are falling into the appropriate categories and that students are receiving optimal credit.
  • Produce Graduation Checks for undergraduate and graduate students
    • Review and summarize remaining requirements for degree completion.
    • Alert students of any possible issues and potential solutions.
  • Meet and advise students regarding policies and procedures, PAWS literacy, graduation check literacy, and any other questions that students may have regarding their records.  Answer policy and procedure questions via phone/email from students, faculty, and staff.
  • Work with the Articulation Officer to publish student-facing articulation agreements using ASSIST and TES (Transfer Evaluation System).
  • Utilize processes/workflows between faculty and the Office of the Registrar to ensure that students are awarded appropriate transfer credit for coursework and external tests (AP, IB, and CLEP). Utilize faculty guidance, established policies, and professional judgement to create articulation agreements with California Community Colleges, CSUs, and UCs.
  • Collaborate with Admissions and Academic Advising to ensure that transfer students entering with ADTs are placed in the correct major, tracked and coded correctly, and advised appropriately.
  • Work with the Articulation Officer, the Degree Audit Coordinator, and the Degree Planner Coordinator to ensure that changes to transfer curriculum initiated by AB928 and AB1111 are correctly accommodated in the OTR systems so that students are awarded appropriate credit and can receive timely, accurate information about progress toward degree.
  • Process course substitutions submitted by academic chairs and ASUA via Exceptions from the Audit (EFA), email, and paper. Programmatically and manually enter requirement adjustments in the uAchieve client.
  • Process adjustments both before and after graduation checks are produced.
  • Process requests from students who wish to take a course at an institution with which we have articulation agreements in order to meet graduation requirements.
  • Review students’ PAWS to ensure that the course requests are equivalent and applicable (i.e., beneficial).
  • Verify that Title 5, residency, and graduation requirements will be met. Process transcript updates
  • Update a student’s record and PAWS with coursework that has been approved by concurrent enrollment request. Under direct supervision, review and subsequently graduate eligible undergraduate and post-baccalaureate students.
  • Manually review undergraduates who are not programmatically graduated.
  • Manually review all post-baccalaureate students.

Minimum Qualifications: Required Education and Experience

  • Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job‑related field may be substituted for one year of the professional experience.
  • Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis.

Required Qualifications

  • Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements.
  • Obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data.
  • Advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi‑aged value systems and work accordingly.
  • Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. 
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

Preferred Qualifications

  • Successful experience working as a transfer credit or admissions/graduation evaluator.
  • Experience with the following software/platforms: ASSIST, PeopleSoft Campus Solutions, and TES (CollegeSource).
  • Experience working with degree audit systems, such as uAchieve.
  • Knowledge of CSU transfer patterns and policies.
  • Knowledge of CSUSB policies and procedures.
  • Excellent organization and communication skills.
  • Ability to use Microsoft 365 (especially Outlook, Teams, OneDrive, Word, and Excel), Google Workspace (Docs, Sheets, and Sites), and Zoom.

Compensation and Benefits:

Anticipated Hiring Range: $4,610 per month

Classification Salary Range: $4,610 - $6,556 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time/Exempt/Probationary  

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check
