Titans After School Program - Program Assistant is responsible for inputting the attendance into City Span for Buena Park School District. This position assists with the annual state attendance report. Titans Program assistant will complete all absent student phone calls for all sites on a daily basis, respectively for each district. This person will also help maintain a file system for all Titans enrolled students and attendance data. Furthermore, this position entails maintaining a file system for all employee records. They will also assist in other program matters as needed.
 
*Please be aware that funding for this position is awarded through a Grant/Contract over a specified period. Employment for this position beyond current Grant/Contract funding is contingent upon continued funding or new Grant/Contract.


Essential Duties

  • Inputting of weekly attendance data into City Span.
  • Proper tracking of all Titans students’ attendance.
  • Creating and maintaining file system of all Titans student applications, weekly attendance sheets, and early release forms.
  • Conduct daily Titans absent phone calls.
  • Communicate with parents, district personnel, and site coordinators in an effective manner.
  • Troubleshoot any issues with data entry of attendance and student enrollment on City Span.
  • Review and edit all written material in English and Spanish including but not limited to permission slips and Site newsletters.
  • Maintain file system for documents used by the program and update documents when needed.
  • Maintain and update Titans bulletin board throughout the year.
  • Communicate effectively with Program Coordinator/Program Director regarding all matters that pertain to Titans and attendance data.
  • Maintain office inventory of supplies and materials.
  • Collaborate with other members of the CICE team.
  • Assist the Program Director/Program Coordinator with back-office work and duties.
  • Process the P-card of Program Director/Program Coordinator.
  • Ability to communicate with potential candidates regarding the pre-employment process.
  • Aids Program Coordinator/Program Director in communicating with HR regarding the opening and closing of job positions on NeoGov.
  • Orders supplies for Titans Sites.
  • Able to efficiently send snack reports to the district.
  • Conducts orientation with volunteers.
  • Other duties as assigned.

  • Ability to coordinate the curriculum and binder containing pertinent information of sites.
  • Excellent verbal and written communication skills.
  • Highly organized with exceptional interpersonal and partnering relationship skills.
  • Enthusiastic and highly motivated.
  • Excellent time management skills.
  • Must be able to maintain professionalism at all times, especially through phone calls and emails.
  • Able to work in a self-monitored atmosphere.
  • Proficient in Microsoft Office (i.e. Word, Excel) and Google Drive (i.e. Docs, Sheets).
  • Must be flexible, team oriented, child focused, and wanting to make a difference in children’s lives.
EDUCATION:
Must pass District Exam or have a minimum of 48 college units completed. 



PHYSICAL DEMANDS:
 
Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, may carry 10-15 pounds of objects/materials, not exposed to extreme noise level, use hands to handle or feel, reach with hands or arms, stoop, kneel, taste or smell.
