Position Summary

This position is responsible for providing secure and friendly test services for students from San Juan College and other institutions, and for local and regional community members to complete entrance exams, high school equivalency exams, certification exams and high-stakes professional exams for employment enhancement. Proctor may be classified as a Proctor I, Proctor II or Proctor III dependent upon level of training completed and certifications obtained (all proctors begin at level I).

MAJOR DUTIES
 
·         Successful completion of all required trainings and certification within first 6-9 months of employment. 
 
·         Opens test rooms, greets candidates, compiles test materials; administers exams following exact protocols for each exam to each test candidate; performs walk-throughs to monitor candidates as an active team member.
     
·         Preps materials for daily scheduled exams; responds to email requests for proctored exams from other institutions; maintains proctor files; enters vendor test appointments into RegisterBlast scheduler.
·         Opens and closes specific computer programs for daily scheduled exams; troubleshoots computer issues; performs computer updates and weekly vendor demo exams.
·         Completes and maintains all vendor certifications and updates account passwords as required.
·         Performs Front Desk duties: answers phone calls; checks-in candidates; opens and closes SJC exams in RegisterBlast; checks-out candidates; records locker key number; gives specific exam instructions to each candidate.
·         Sanitizes test stations upon candidate departure; sharpens pencils; cleans white boards; cleans and vacuums test rooms and proctor room daily/weekly.
·         Evaluates and lists tasks for completion each day.
·         Serves as shift leader upon promotion to Proctor II. 
·         Assists with new proctor training and manages vendor schedules with guidance from Director along with daily proctor duties upon promotion to Proctor III.
·         Performs related duties.
 
KNOWLEDGE REQUIRED BY THE POSITION
·         Knowledge of a body of standardized rules, procedures and operations requiring considerable training and experience to perform the full range of standard clerical assignments and to resolve recurring problems.
·         Knowledge of basic computer operating skills.
·         Knowledge of Student Services Service Excellence Philosophy and Standards to provide excellent customer service to all stakeholders.
·         Knowledge of confidentiality protocols.
o   Following FERPA guidelines for student personal identifying information. 
o   Maintaining the validity of all exams by keeping all vendor information tightly secured.
o   Securing all San Juan College and other institution course exam information in the combination-locked file drawer.
o   Securing all personal usernames, passwords and codes for each vendor.
·         Skills in using Microsoft Office Word and Excel in daily operations.
·         Skills in using Netiquette in all email communications.
·         Skills in general office procedures to maintain office files and access filed documents.
SUPERVISORY CONTROLS
The Director of the Testing Center assigns work in terms of general instructions. The supervisor spot-checks completed and in-process work for compliance with established procedures. 
GUIDELINES
Guidelines include National College Testing Association (NCTA) Professional Standards and Guidelines; Vendor guides; Open for Business, Close for Business, and Front Desk Daily Checklists; and exam instructions from other institutions. Proctors follow the specific exam details sent by each instructor for the SJC course exams. The guidelines are detailed and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
·         The work consists of related specialized duties. Strict regulations and required attention to detail contribute to the complexity of the position.
·         The purpose of this position is to provide high quality testing and assessment services that observe the National College Testing Association (NCTA) Professional Standards and Guidelines in order to meet the growing needs of our students, faculty, administration and community.

PHYSICAL DEMANDS/ WORK ENVIRONMENT
·         The work is typically performed while intermittently sitting, standing or stooping, or walking. 
·         The work is typically performed in an office, library or computer room. The employee is potentially exposed to contagious or infectious diseases.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
MINIMUM QUALIFICATIONS
 
·         Sufficient experience to understand the basic principles relevant to the major duties of the position. Associates degree or four years of comparable work experience preferred.  
·         Successful completion of specific proctor training is required upon hire.  
·         Proctors are categorized in the following levels:
o   Proctor I – Entry Level with completion of all assigned trainings and certifications within first 6-9 months of employment. 
o   Proctor II – Satisfactory performance in Proctor I position with successful completion of all required trainings and certifications.
o   Proctor III – Satisfactory performance in Proctor II position with proven leadership skills performed in shift leader role for a minimum of two years.
