Job Summary
This recruitment will be used to fill one full-time Temporary Office Specialist 2 position for the Department of Forest Ecosystems and Society at Oregon State University (OSU).
This position exists to support the project PI and the project manager on the Tribal Round Table Project with logistics and facilitation.

Key Responsibilities
70% Project Coordination
Assists with scheduling meetings and room reservations and all project logistics; may include coordinating catering, purchasing guest parking permits, and arranging other meeting materials, helping make room reservations, helping assemble Tribal Roundtable materials for participants, taking notes at Tribal Roundtables, and tracking performance/participation metrics. Drives to and attends meetings with project partners such as Tribal Nation staff and FS managers.
10% Reporting
Help prepare reports and compile notes from Roundtables and with technical reports.
20% DEI Coordination
Contribute to the implementation of diversity, equity and inclusion strategies in the department and college. Contribute to creating a respectful environment for Tribal engagement that includes respect for Tribal sovereignty and adherence to cultural humility.
What We Require

Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

What You Will Need
  • Demonstrated ability to maintain professionalism in a fast-paced environment, coordinating multiple tasks, and shifting priorities with constant interruptions.
  • Demonstrated interpersonal communication skills to effectively represent the project and the Indigenous Natural Resource Office to support Tribal partners and federal agency partners, and workers and participants in Tribal Roundtables.
  • Experience working with complex teams of people, helping coordinate and support their activities at offsite locations (e.g., away from OSU).
  • Exceptional organizational skills and the ability to pay attention to detail; strong oral and written communication skills; problem solving, flexibility and the ability to work independently.
  • Demonstrated ability to work effectively in a team setting, as well as independently.
  • Demonstrated ability and experience working with confidential or sensitive information.
  • Experience and demonstrated competency in the use of Microsoft Suite and excellent computer skills including experience with spreadsheets, databases, and Outlook.
  • Ability to help write reports and track project metrics (e.g., participant metrics).
  • Demonstrable commitment to promoting and enhancing diversity.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

  • BS in policy, environmental studies or natural resources.
  • Intercultural experience, working with Tribal Nations and partners.
Working Conditions / Work Schedule
The incumbent works in a traditional office setting during regular hours M-F, 8-5; however, this position requires the ability to travel to Tribal Roundtables sites and spend one week per month at the ecoregional locations of these meetings, including evening and/or weekend work and some outdoor activities. The ability to lift up to 35 pounds consisting of boxes, office furniture or equipment, office supplies, parcels, and/or event supplies is required.
