We are seeking a hardworking, self-motivated Temporary Administrative Coordinator to join the lab of Dr. Bert Vogelstein at Johns Hopkins University in Baltimore, Maryland. Bert Vogelstein aims to develop new prevention and treatment strategies based on the genetic alterations that drive tumorigenesis. Vogelstein and his team have identified some of the most common mutations that initiate tumors or cause them to progress and have characterized the signaling pathways through which they act. One of the team’s most important discoveries in this area was that a relatively small number of genes plays a major role in most human cancer types. Currently, they focus on using this core set of cancer driver genes to develop novel methods for identifying cancers at an early stage, and to devise novel therapeutic approaches for exploiting the vulnerabilities these mutations cause.

About the role:

As the Administrative Coordinator, you must be someone who takes the initiative, demonstrates follow-through, strong problem-solving skills, pays attention to detail, and is able to work independently. You have strong experience with a demonstrated commitment to fostering a collaborative, respectful, fun, teamwork-oriented environment. The individual must be a self-starter and proactive. The dynamic nature of this role requires that the ideal candidate has exemplary time management skills. The individual is expected to handle highly sensitive and confidential financial, personnel and institutional information while exercising professionalism and discretion. This will be a Full Time 3-month temporary role with hybrid flexibility.

What you’ll do:

  • Provide high-level administrative support to the Investigator including meeting logistics, event planning, projects, and other relevant administrative duties as assigned.

  • Maintain complex office calendar. Schedule appointments and meetings with lab staff, university faculty, students, media, external professionals, and administration. 

  • Reconcile travel and expense reimbursements, as well as invoices and other financial records for PI, staff, and trainees.

  • Serve as a liaison with lab staff, coordinating with host institute support services when necessary and directing questions from the labs to the appropriate personnel.

  • Provide training and support for HHMI systems such as Workday and Concur as necessary.

  • Coordinate and supervise research grant submissions, annual reporting, and competing renewals.

  • Coordinate orientation of all new lab members including email accounts, IDs and building access. Work with HR and Payroll to ensure paperwork and visa requests are processed in a timely manner as needed.

  • Perform sophisticated document preparation assignments including composing, proofreading, editing, researching, and compiling letters and/or special reports.

  • Create and maintain laboratory files and website.

  • Assist with the administrative aspects of personnel management which may include processing timesheets. Ensure compliance with administrative, human resources, and department policies and procedures.

  • Performs other administrative duties and special projects as required.


What you bring:

  • Bachelor's degree or equivalent combination of education and work experience is strongly preferred. A minimum of 5 years of increasingly responsible administrative and office experience is required.

  • Energetic self-starter, critical thinker who has a thoughtful approach to problem solving and the ability to independently resolve conflicts in schedules.

  • Skilled in Microsoft Outlook, Word and Excel.

  • Knowledge and experience with budgets and maintaining financial records.

  • Ability to recognize and safeguard confidential information.

  • Excellent writing, organizational, recordkeeping, and interpersonal skills.

  • Excellent time management, analytical, and customer service skills and a positive demeanor.

  • Able to manage a broad range of responsibilities simultaneously while remaining flexible to handle changing priorities.

  • Ability to work independently with minimal direction as well as part of a team.


Hourly range: $31.75 (minimum) -$39.71 (midpoint) -$51.59 (maximum)

Physical Requirements

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
