General Description
The purpose of this position serves to coordinate between Teacher Education Services, the Field & Clinical Placement office, and the Teaching, Leadership, and Technology department. This position assists the Field & Clinical Placement office with student interns, cooperating teachers, and supervisors while also assisting TLT with instructional leadership residency. This position assists the Director of TES with TEP applicants and teacher certification and serves as the office manager for TES.
Essential Job Duties
1. Serve as program coordinator for the Office of Teacher Education Services. Respond to telephone calls, emails, students, faculty, staff, and visitors by providing Teacher Education Program and certification information.
2. Serve as office manager for the Office of Teacher Education Services by overseeing the effectiveness and efficiency of day-to-day operations.
3. Budget and order Teacher Education Services office supplies, travel forms, and other Requests for Payment forms.
4. Update TES deadlines and communicate with Provost, Dean’s Office, and Calendar Office.
5. Process TEP applications, run Argos reports, and prepare other paperwork as needed for admission to the Teacher Education Program. Prepare letters/emails to students with any remaining requirements for TEP admission and prepare letters/emails upon admission to TEP. Update Banner codes and “Comments” for transcripts.
6. Open, organize, and maintain retention of student files through certification for advanced program files.
7. Receive and process Residency applications and maintain retention of student files through certification.
8. Receive and process Internship applications, run Agos reports, and collaborate with the Field Placement Coordinator and Director to ensure requirements are met for internship. Prepare letters/emails to students with any remaining requirements for internship. Prepare letters/emails for internship approval.
9. Prepare Intern Placement letters, Cooperating Teacher letters, and CT Agreements.
10. Budget, purchase, and prepare swag gifts for CT’s and Supervisors.
11. Assist Field Placement Coordinator and edTPA Coordinator with Intern Orientations and Kick-Off.
12. Coordinate Supervisor luncheon.
13. Ensure all CT Agreements have been received and recorded for TES data archival purposes, submission of CT Agreement (contract) with AP/Contracts Department, and preparation of the CT Dean’s Report.
14. Oversee edTPA accessory check-outs and conduct annual inventory of equipment in keeping with university requirements.
15. Assist edTPA Coordinator with seminars and TCert checks.
16. Coordinate and host Certification Workshops for all programs. Maintain certification check sheets for submission of all certification paperwork, including passing of edTPA, Praxis scores, surveys, and reconciling with graduation reports.
17. Process applications for state certification for students seeking initial and advanced certificates, certification renewal, and reciprocity certificates. Oversee and proof all certification application packets, prepare all other necessary forms to be included with packet, input “Comments” for official transcripts, communicate with Registrar’s Office re GPA’s and request official transcripts, and communication with the State Department regarding submission. Supervise student workers with making copies and finalizing the organization of all certification packets.
18. Prepare Verification of Degree emails for students post-graduation.
19. Monitor all students who are ineligible for recommendation for certification. Send a five (5) year letter regarding certification lapse for initial and/or advanced certs who have not completed all requirements to be recommended for certification.
20. Provide and compile data regularly and as requested by the Director of Teacher Education Services and the Dean for NCATE, Title II, the AL State Department of Education, and institutional reporting purposes.
21. Process, prepare, and report CT payroll and stipends.
22. Advertise, receive, and process TES Scholarship applications.
23. Coordinate and take minutes for TES Quarterly and Unit Planning meetings.
24. Reconcile and monitor the Teacher Education Services budget quarterly.
25. Scan and index TES completer/closed files for archival purposes. Input Banner codes for all closed files.
26. Hire, train, schedule, and supervise student workers.
27. Post updated information and documents to the Teacher Education Services webpage.
28. Generate reports for CEHD (CT Dean’s Report) and the Registrar’s Office (Current Students Admitted to TEP each semester).
29. Update the Program Coordinator manual yearly.
Additional Duties
Assist the Director in completing Interim Emergency Certificate (IEC) paperwork for students employed as teachers.
Prepare verification of degree statements for students, as requested.
Assist the Director with editing and revising the Teacher Education Program and Internship Handbooks, forms, and letters.
Access the state database (T-CERT Portal) as needed to provide certification information.
Serve as Notary Public for the College of Education.
